Edelman Financial Engines is looking for a passionate and dynamic Executive Assistant to support the Vice President of Consumer Marketing. As this group is leading Financial Engines’ strategic transformation toward a consumer-centered business model, our leaders have ambitious agendas, high expectations, and cross-functional relationships across the organization. Responsibilities:
• Plan and direct all administrative and operational activities for the head of Consumer Marketing
• Manage the schedule and calendar of Vice President, Consumer Marketing, thinking ahead to ensure prompt execution of meetings, conference calls, travel and other mission-critical events
• Organize and prioritize critical issues and required information for Consumer Marketing to facilitate effective decision making
• Attend select internal meetings to capture key takeaways and action items. Collaborate across multiple organizations to drive alignment to plans, ensuring priorities and results are achieved.
• Prepare and coordinate internal meeting agenda and communications
• Act as the central point of contact for coordination of department activities (team meetings, all hands, offsites, etc.)
• Anticipate travel needs, arrange complex and detailed travel plans and submit travel expense reports
• Acts as an effective “gatekeeper”; assess inquiries, determine appropriate course of action and delegate responsibilities accordingly
• Develop and maintain excellent working relationships with internal teams and external stakeholders at all levels
• Provide backup reception coverage in Boston as needed
Qualifications:
• 5+ years’ experience as an executive assistant, Chief of Staff and/or project manager
• Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Strong MS Office and SharePoint experience with excellent PowerPoint and Excel skills
• Excellent verbal and written communications skills, including experience communicating with senior executives.
• Works well under pressure in a fast-paced environment and exercise sound judgment and discretion
• Motivated self-starter; identifying opportunities for improvement and assuming responsibility
• Highest level of professionalism, integrity and strong work ethic
• Team-oriented individual with the ability to work well with diverse groups
• Strong MS Office and SharePoint experience with excellent PowerPoint and Excel skills
