Join the JLL team of 350 Occupancy Planning professionals engaged in optimizing space use, creating space solutions, and achieving cost savings for 65+ clients and 400 million SF of real estate worldwide. The Senior Occupancy Planner is responsible for consistent delivery of space planning services, space data management, and occupancy reporting within the framework of the client’s workplace programs and strategy. This role will interact with the client’s internal CRE team and client end users up to the senior and/or executive management level. This position reports to the Director of Occupancy Planning.
Deliverable / Responsibilities:
• Understands the client’s regional portfolio composition and ensures the client’s real estate strategies and programs are reflected in occupancy and workplace options
• Responsible for interpreting the client’s business approaches into project scope and developing planning strategies to support space and occupancy requirements
• Partner to build relationships with internal clients of various levels, including business executives, to understand, assess and deliver workplace and occupancy solutions
• Use creative and analytical thinking to generate multiple solution options for complex occupancy problems, such as M&A, rapid growth, consolidations, or economic disrupters
• Evaluate and interpret data from multiple sources and translates analysis into actionable business cases for real estate based on capacity, business requirements, client programs/initiatives, time constraints, lease options, current supply of space and projected demand for space
• Develop migration plans and complex sequencing of group-level moves.
• Facilitates and/or resolves planning issues identified in the internal customer planning meetings;
• Recommends, educates and enforces space policies/standards, procedures and protocols and notifies client of customer requested exceptions;
• Provides oversight of space audits (including seat assignments, occupancy, vacancy)
• Assist in developing site-specific Planning Strategies with Senior Leadership.
• Assemble and regularly report the top-down and bottoms-up seat count projections collected at the group-level for an annual planning horizon and reconcile discrepancies with tops-down projections
• Track and report actual seat demand at the group level
• Report actual seat demand versus projected seat demand at the building level
• Compare over time, seat demand versus projected seat demand at the building and business unit level
• As necessary, participate in project and move coordination planning meetings;
• Prepares building specific stacking plans;
• Reports the current supply and capacity, and forecasts inventory changes
• Support the implementation and provides leading oversight to the Client space data management CAFM system and data validity.
• To ensure accurate reporting of information, and foster critical relationships between various individuals and organizations, communication channels will exist with:
• Tactical MAC planner, who will lead daily moves;
• Business Unit leadership to collect headcount forecasts and resolve discrepancies between leadership’s numbers and those collected at the group-level;
• Corporate Finance group to gather Top-Down projections
• Corporate Real Estate to review and resolve planning forecasts, needs, concerns, and issues;
• Collaborate with Project Management and Facility Management
• Project management to review stacking strategies and to provide workload forecast related to project moves that are planned to occur based on occupancy plans/strategy.
• Other planners to ensure occupancy strategy plans are developed.
Required Knowledge, Skills, and Abilities:
• Excellent written and verbal skills
• Ability to communicate complex ideas in a concise and summarized manner without personal bias.
• A working knowledge of leasing, facilities, operations, design, construction and technology (infrastructure).
• Outstanding interpersonal and relationship building skills
• Excellent analytical skills – both financial and planning
• Experienced in a wide variety of real estate projects, including expansion, consolidation, restack, process development, space audits and opportunity assessment
• Basic to intermediate proficiency in AutoCAD
• Good understanding of CAFM and IWMS systems and experienced in using its data to deliver projects
• Experienced in managing multiple projects simultaneously and remotely
• Program management skills coupled with the ability to profitably execute and deliver
• Excellent MS skills inducing: Excel, Power Point, Access, Word
• Public speaking acumen and the ability to engage large groups
• Critical thinking that drives change and advances the practice
• Able to self-govern and make sound decisions
• Can facilitate conflict resolution - internally and externally
• Develop relationships that can lead to long term assignments
• Strong ability to collaborate with others
• Some domestic travel may be required
• Minimum Required Education:
5 to 7 years work experience in occupancy or space planning at a strategic level; interior office planning; or move/project management. Strong understanding of occupancy planning, facilities, operations, design, construction and technology (infrastructure), alternative workplace strategies and other utilization programs. Bachelor’s Degree in Management, Architecture, Design, Real Estate
