Pricoa Capital Group is the international investing affiliate of Prudential Capital Group. Pricoa is seeking a bright, motivated, and organized individual for a Part-Time Senior Administrative Assistant position in their Chicago office. This individual will have administrative management responsibility and would perform administrative work of moderate difficulty and complexity. This position will report to Pricoa’s Managing Director, located in Chicago, and currently responsible for the Germany and France offices. Ideal hours for this position are 8:00A.M.-Noon Monday-Friday, but may consider alternate hours.
Job Responsibilities will generally include, but may not be limited to the following:
• Provide direct administrative support to the Managing Director and others in the department, including answering telephone, word processing, printing documents, compiling meeting materials, photocopying, filing, vouchering, maintaining/ordering supplies, sorting and distribution of mail and faxes
• Schedule and coordinate meetings internally and externally
• Organize and manage registration, hotel bookings and domestic and international travel, arrangements for offsite meetings, conferences and seminars for multiple team members
• Prepare and submit expense and travel vouchers to Accounts Payable for processing and reconciliation of any errors/discrepancies with expenses in different currencies
• Work with Company’s business system, including Salesforce system
• Prepare, arrange, compile and assemble materials for client visits and other team projects
• Manage systems needs/equipment requests
• Versed in the usage of Excel, PowerPoint and Word to prepare spreadsheets and presentations as needed
• Type and proofread documents
• Screen and redirect routine and non-routine calls, as appropriate
• May compose notes, letters and miscellaneous correspondence.
• Provide back-up administrative support to other administrative assistants in the department as needed
• Special projects as assigned
Qualifications:
• A minimum of 2-4 years of administrative experience preferred
• A high degree of professionalism, common sense, and strong work ethic coupled with a sense of responsibility and integrity required
• Excellent interpersonal skills, dependability and the ability to communicate with all levels in and outside of the organization required
• Positive, “can-do” approach to work, and punctual
• Strong initiative and good judgment a must
• Attention to detail and prioritization skills needed
• Excellent judgment and discretion required in handling confidential information
• Ability to solve problems and troubleshoot with general oversight from managers
• Excellent organizational skills and time management skills with the ability to prioritize and multi-task required
• Ability to work independently and as a team player.
• Strong partnering and collaboration skills required
• Ability to compose routine letters and/or emails needed
• Willingness and ability to take direction from multiple sources required
• Proficiency with Microsoft Office computer programs, specifically Word, Excel and PowerPoint
• Proficiency with Outlook and Salesforce is a plus
• Flexibility to work additional hours as required
