Reporting to the Corporate Events Operations Manager, the candidate will oversee assigned aspects of event operations and logistics, meeting planning, and project execution.
The candidate will assist in areas of event operations and logistics including registration website and meeting app maintenance, attendee data management, and other functions across all events. Additional responsibilities include supporting various attendee management issues, assisting with help desk emails, phone inquiries and FAQs, and other components of larger events.
This is notan event planner position. Travel is required approximately 30 percent of time.
Key duties and responsibilities will include:
• Assist with development and maintenance of meeting registration websites and mobile apps for client events, including data coordination and entry, proofreading and testing
• Coordinate help desk emails and FAQs; resolve attendee management issues; track and organize all help desk correspondence and inquiries.
• Assist with data entry and maintenance of content for mobile meeting apps.
• Provide ongoing reconciliation of all attendee travel information with registration sites
• Assist with registration of Senior Leadership, VIPs, Travel Staff and others, when requested.
• Track and follow-up on invitation status to private dinners at Council and Partners meetings.
• Support manager and senior planners in resolving event management issues pertaining to attendees, reporting, special meals, and name badges.
• Assist with tracking of Continuing Education credits and distribution of completion certificates via mobile app.
• Travel onsite to select events and assist with registration and check in, mobile app help desk, and activity registration.
• Assist with shipping communications to internal users and vendors and ordering of event supplies, as needed.
• Support Manager in development and follow-up of post-event satisfaction surveys.
• Maintain calendar of key dates for Event Operations team.
Required skills and qualifications:
• BA degree or equivalent experience
• 2-5 years of related work experience
• Customer Service oriented
• Must have excellent written and verbal communications skills and be able to negotiate with others
• Must have excellent project and time management skills and be able to manage multiple projects concurrently
• Must be a problem solver, requires conceptual thinking to develop solutions
• Attention to detail and accuracy is required
• Must be comfortable working as part of a team
• Must have ability to adapt to change on short notice
• Prior experience working in Events and Meetings industry is preferred
• Proficient in MS Office - Word, Excel, Outlook, and PowerPoint
• Familiarity/experience working with HTML, CSS and basic graphic design skills
• Must have ability to travel to work onsite at events, as needed
