JOB SUMMARY
Maintains all storage facilities utilized by the bank in which mortgage loan files are kept. Retrieves and Delivers mortgage loan files and note folders to various departments daily. As directed, scans and uploads documentation to OnBase and verifies and reconciles all documentation uploaded to OnBase.
ESSENTIAL FUNCTIONS
Generates file delivery paperwork, via Microsoft Excel, for all file and note folder requests. Responsible for the retrieval and delivery of mortgage loan files and note folders. Ensures the entire mortgage loan portfolio and subsequent note folders are organized and readily accessible. Deliver and retrieve mortgage loan files between Duffy Ave. and offsite warehouse via an assigned company vehicle. Continuously organizes all file locations to ensure that there is sufficient capacity to accommodate new files. Performs a regular inventory review of all mortgage loan files and note folders. Updated information is entered into Excel spreadsheet database. Coordinates the packaging, notification to off-site storage contractor via Outlook and Excel and inventory of all satisfied and refinanced mortgage loans. Prepares Excel file transmittal forms for all satisfied files and refinanced files to be transported to off-site storage contractor. Updates the associated Excel tracking spreadsheets. Assists in the scanning of miscellaneous loan documents. Assists in the verification and reconciliation of all documentation uploaded to OnBase daily. Performs special projects, and additional duties and responsibilities as required. Where applicable and when performing the responsibilities required of the job, employees are accountable to maintain Sarbanes-Oxley compliance and adhere to internal control policies and procedures. Assist Department Manager with any other duties assigned.
EDUCATION AND EXPERIENCE
High school diploma or equivalent Minimum 1 year of file management experience required. Loan file management experience is preferred. Valid driver's license and acceptable driving record in order to operate company vehicle.
KNOWLEDGE, SKILLS AND ABILITIES
Detailed oriented. Excellent organizational and time management skills. Knowledge with OnBase a plus. Intermediate knowledge with Microsoft Excel. Good communications skills. Required to lift and carry boxes weighing between 25 and 35 lbs., daily. Ability to understand and operate standard office equipment.
