As the Real Estate and Facilities lead, you will lead various business as usual activities required to run the facility and offload some of this from existing AIG resources.
Real Estate lead is responsible for all lease administration, real estate financials and logistics. Responsibilities include:
• Strategy/Transaction Management: working with the Business and ELT to develop future Real estate needs
• Space Planning: managing strategic, tactical space utilization and performs restack evaluations to ensure optimization
• Project Management: administering the design, construction, technology coordination and security for all locations through contracted vendor partnerships
• Restacks: executing the logistical aspects of restacks
Facilities Manager is responsible for preventative and reactive property maintenance to Fortitude Offices. Responsibilities for this piece of the role include:
• Onsite Support including move management, workspace modifications, reception, office supplies, vending, and pantry services.
• Liaise with AIG and various vendors on cleaning crew/restrooms/security/pantry/meeting rooms, etc.
• Central coordination for onboard new employees logistics, background checks, etc.
BCP Coordinator piece of role is responsible for:
• Ensuring that there is a business continuity plan in place for all key areas at Fortitude to deal with possible business interruptions and office closures.
• Coordinating BCP events to ensure that we remain able to service our customers.
Corporate Security Lead is responsible for ensuring the safety of all Fortitude employees. This includes:
• Executive Protection: ELT Transportation, Personal Security, Executive Suite and Event Security, and Fingerprinting Services
• Operations and Investigations: HR and ER assistance, background checks, field investigations, facility site assessments, localized security consultants, on-ground response and support for EP/travelers,and guard force management
• Prevention and Response capabilities: 4/7 Support Center (The GSOC), country risk ratings and global threat assessments, travel alerts, restrictions, bans and tracking, evacuation assistance, incident management, due diligence investigations
• Physical Security: Security Technology Support Center (STSC), design & management — CCTV, turnstiles, card readers, alarm systems, access badges and space utilization data
This role will also be responsible for:
• Assisting with location strategy and strategic site selections
• Leading the buildout of selected sites
• Creating and managing floor plans as part of moves and onboarding
• Working with Tax team on tax incentives and strategies for locations
• Ensure security and safety of facilities and employees
• Establish and maintain relationships with key facility suppliers. Assist with strategic negotiations of facility vendors
• Responsible for standing up Corporate Insurance with Legal team
• Act as liaison with Management Company and landlord
What we are looking for
• 10+ years' experience in Real Estate and Facilities Management with leadership responsibilities
• Bachelor's degree preferably in business, finance or other related discipline
• Knowledge of the financial services or insurance industry preferred
• A recognized qualification in real estate would be considered an asset
• Proven expertise working in best in class real estate organization
• Management experience across various category and disciplines
• Strong communication and interpersonal skills with the ability to work effectively with various stakeholders, including senior management, internal functional partners, and external advisors.
• Strong written, oral, and interpersonal communication skills
• Compelling influencing and persuasion skills
• Effective project management and change management skills
• Demonstrated consulting and problem solving skills
• Self-starter, able to multi-task and work in a fast paced environment
