Opportunity Overview
Procurement
The Associate Buyer is responsible for partnering with internal stakeholders and Sourcing Office Personnel/Leadership to manage the administrative buying and contract negotiation processes:
• Facilitate, track, and execute Purchase Orders
• Negotiate commercial and legal terms for Non-Disclosure Agreements and Evaluation Agreements
• Provide contract execution and management supporting internal stakeholders needs to ensure accurate contract records
• Support the leadership approval process to ensure timely contract renewals
Contract Administration/Reporting and Systems Management
The Associate Buyer is responsible for managing the processes and procedures associated with the Sourcing Office software application(s), including the firm's Contract Management and Purchase Order systems. This includes:
• Entering contract data into the Contract Management System and ensuring integrity of all contract data to enable timely contract renewals and notifications
• Providing end user support and collaborating with Information Systems and other internal areas to resolve system issues
• Compiling and distributing standard reports, key measures and ad hoc reports for Senior Leaders and interpretting the needs of report recipients in order to create additional deliverables to assist in making decisions
• Answering questions, providing contract documents and resolving related issues for suppliers and associates across the Firm
• Identifing, designing, implementing and documenting process and system improvements, to streamline associate workload and improve end user experience
There is daily autonomy in managing multiple requests and Associate will effectively prioritize workload and operate in a fast paced environment with minimal direct supervision.
Position Requirements
• Qualifications Required in the Job:
• Bachelor's degree and 2 years previous reporting, systems support or buying experience required
• Advanced knowledge of Microsoft Word, PowerPoint, and Outlook
• Advanced knowledge of MS Excel. Ability to automate using Visual Basic for Applications (VBA) also known as macros, is a plus
• Ability to collaborate with others
• Ability to negotiate directly with vendors
• Experience with purchasing and/or ERP systems preferred
• Experience with writing database queries is a plus
• Experience with research, review, and interpretation of legal documents
• Experience with process improvements
