Position manages staff and department operations to ensure quality, accuracy and the highest standard of service in managing the incoming transfer process by coordinating required tasks and efforts between all business units, the client, external vendors, and/or prior servicer. This includes, but is not limited to, the oversight of establishing procedures, setting tasks, establishing task milestones and deadlines, managing and coordinating meetings, setting agendas, handling transfer issues and other steps as required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Directly responsible for managing department staff to ensure instructions are being followed, standards are being met and operational issues are being addressed.
• Report to management on status/issues of areas regularly through management reports, metrics, meetings, and email.
• Ensure that the department meets/exceeds established metrics/SLA standards.
• Manage client interaction to ensure proper notification, tracking and resolution of data integrity exceptions.
• Maintain and update Policies and Procedures and ensure revisions are made timely.
• Manage and coordinate communication with departments, new clients, existing clients and prior servicers via project plans and meetings as needed throughout the transfer process
• Establish and maintain transfer procedures for the implementation process to include timelines, task lists, department roles and responsibilities.
• Coordinate transfer team efforts to ensure timely delivery of required tasks
• Ensure that responsible departments are made and kept aware of transfer progress through meetings, task updates and other necessary communications.
• Research process gaps (intra/inter departmental) and close gaps timely.
• Manage pertinent third party vendors to ensure compliance with SLA’s, etc.
• Supervise, train, coach and develop staff to ensure department efficiencies are maintained.
• All other duties as assigned.
Qualifications
MINIMUM QUALIFICATIONS
• Excellent client relations skills are a must
• Demonstrated project management skills are required
• Ability to communicate effectively both in writing and orally, in person and by telephone, with all levels of the organization and with external customers. Strong instructing and advising skills
• Bachelor or Associates degree required or equivalent combination of education and experience in mortgage or financial related field.
• 2 to 4 years of experience in mortgage servicing or banking preferred.
• Proficient use of Microsoft Excel, Access, Word, and MSProject .
• Ability to function as a leader and to work under pressure, meet organizational deadlines, and multi-task while maintaining departmental standards.
• Ability to work collaboratively with peers, company managers, and customers in a team environment to attain common goals.
