The Office Manager is a high performing leader in the local office, responsible for directly overseeing Administrative Support Services and daily operations, and for building and developing key shareholder and other client relationships. This person supervises administrative, facilities, and processing personnel. He or she is responsible for staffing office support needs, leading and developing his or her team, and providing coaching, training, and feedback as needed.
Essential Functions
• Plan, direct and coordinate support services for the Columbia office, and oversee the Charleston office remotely
• Directly supervise administrative, processing, and facilities personnel in both Columbia and Charleston, serving as their mentor and coach
• Implement firm initiatives or processes at the local office level (as directed by firm and local leadership)
• Analyze internal processes for efficiencies and propose procedural or policy changes to appropriate internal firm department heads for improvement of overall operations
• Work in conjunction with HR and recruiting to hire and/or terminate clerical and administrative personnel
• Goal setting and annual review process, including performance management and development of local administrative teams in both locations
• Develop plan to prioritize, organize, and manage administrative team workload
• Responsible for administrative support assignments for all shareholders
• Serve as a liaison with external clients, the public, vendors, building management and others outside the firm
• Manage local administrative budget and assist with developing the budget; implement cost savings and expense control as needed
• Develop constructive and cooperative working relationships with others, and maintain them over time
• Perform some day-to-day administrative tasks such as maintaining information files and processing paperwork as needed
• Plan and coordinate office events and community engagement in conjunction with leadership and office social committee
• Assist in the onboarding process for new hires and the exit checkout process for employees leaving the firm
• Additional duties as required
Qualifications
• Bachelors or Associate’s degree preferred or equivalent experience in a Professional Services’ firm
• Minimum 8+ years of executive administrative experience working in a professional services firm or office setting
• Proven experience in managing or supervising administrative personnel
• Knowledge of office manager responsibilities, systems and procedures
• Ability to work alone and/or unsupervised
• Ability to work overtime as needed and/or on a seasonal basis (weekday evenings and weekends)
• Must be honest and ethical and maintain confidentiality when necessary
• Must be reliable, responsible, dependable, and fulfill obligations
• Willingness to lead, take charge, and offer opinions and direction
• Strong attention to detail and problem solving skills
• Flexibility and adaptability required
• Ability to build relationships with all levels of employees
• A commitment to quality, continuous improvement, and teamwork
• Ability to multitask and prioritize
• Excellent written and verbal communication skills
• Excellent computer skills, including proficiency in Microsoft Office (MS Word, MS Excel, and MS Outlook in particular)
Position Type / Expected Hours of Work
This position is exempt, but full-time / 40 hours per week is expected, with some overtime as required.
Travel
Occasional travel will be required, including visits to oversee the Charleston office as needed.
