Overview
First Republic Investment Management (FRIM) is an SEC-Registered Investment Adviser (RIA) owned by First Republic Bank. Our team within FRIM traces its roots to Luminous Capital, a fast-growing independent RIA that was purchased by FRIM in December 2012. We work exclusively with high net worth clients. Typical clients include entrepreneurs, corporate executives, non-profits, and partners in venture capital, private equity, real estate, and law. We are looking for a highly motivated professional to join our Palo Alto-based team as an Administrative Assistant. The Administrative Assistant will work closely with the rest of the team to manage important elements of the Executives day-to-day responsibilities and to help ensure the healthy growth of our business.
Responsibilities
Duties & responsibilities include, but are not limited to, the following:
• Calendar management for two Senior Managing Directors; heavy scheduling and rescheduling,invitation management and arranging meeting space / video conference.
• Facilitate all travel arrangements (air, rail, hotel, car service, etc.)
• Lead and manage special projects as they arise on behalf the Senior Managing Directors and upper management of the team
• Act as a liaison between the Wealth Manager and team for administrative needs.
• Serve as point person between the Wealth Management team and First Republic maintenance and administrative building staff.
• Work with team to maintain organized and effective workspace.
• Perform general clerical duties including, but not limited to, photocopying, faxing, scanning,mailing, filing, uploading documentation to proper sources including shared networks and/or programs. Utilize Couriers, FedEx; UPS; and US Postal Service as appropriate.
Qualifications
• Minimum two years experience supporting Executives in an administrative capacity
• Candidate must thrive in a fast-paced, ever changing environment
• Must have the ability to exercise reasonable judgment
• Must have high attention to detail
• The successful candidate must possess the ability to demonstrate a high level of professionalism
• Excellent written and verbal communication skills, exceptional customer service orientation
• Ability to multitask and manage time wisely
• Strong organizational and strong technical skills, including Microsoft Office skills
• Previous process management experience is a plus
• Team player with the skills to work independently as needed and have the no task is too small mentality
• Ability to work well under pressure while demonstrating composure in a fast paced environment with a positive attitude
• Experience using Salesforce is a plus
