About the Role
The Human Resources Internship will be a Summer 2019 Internship running from mid May to early August and will provide an opportunity for a student to work closely with our Human Resources team and be a part of the Human Resource Development Program designed to provide training in Human Resources and Personnel Management. This Internship will directly assist the Human Resource Team with a wide range of projects related to HR compliance, recruiting, onboarding/orientation, employee benefits, payroll and volunteer intern programs. In this position, the intern will learn how to take skills he or she may have acquired in school related to his or her particular areas of interest, and apply them in a professional setting.
This program will be implemented in a 12 week timeframe allowing the intern to learn the basics of Human Resource Management throughout the training process. This program will be designed to provide the candidate and management a measurable way to assess the progress of the candidate in addition to following The Bank of the San Juan’s Core Values: Honesty and Integrity, Teamwork, Respect for the Individual, Service to the Customer and Giving Back to the Community. Throughout the program, candidate and management will have regularly scheduled meetings to assess the progress of the candidate.
DUTIES AND RESPONSIBILITIES:
Intern will have extensive contact with the bank staff and will interact in a professional, courteous manner, and conduct him/herself in such relationships in a manner that will enhance the overall efficiency and image of the bank. This person must have the ability to communicate effectively while working quickly and accurately
Payroll
• Assist in reviewing and approving time in the UltiPro Time and Attendance (UTA) system.
• Assist in processing salaried employee time off using E-Time.
• Assist in preparing and forwarding batch sheet to payroll.
• Assist in coordinating and processing payroll changes.
• Enter all new hires in to UltiPro HRIS system and set up UTA access if applicable prior to next pay period end date.
• Update all employee information in the UltiPro HRIS system.
• Enter all employee terminations in the UltiPro HRIS system.
• Maintain documentation per policy, procedures, and payroll audit guidelines.
Personnel
• Assist in maintaining all employee records (I.e. Personnel files, confidential employee files, benefit information and elections, compensation and all incentive plans) with employment and record retention guidelines.
• Assist in ensuring that 90 Day employee performance evaluation reminders are sent to Managers in a timely manner, evaluations are completed and returned by same.
• Assist in the recruiting and hiring process, including: posting job openings, reviewing resumes, conducting telephone and in-person interviews, making job offers and negotiating starting salaries.
• Assist in processing new, transferred, and terminated employee paperwork following bank policy and applicable laws.
• Assist in ensuring that all new hires complete their open enrollment by the required deadline.
Process Improvement
• Assist in documenting and analyzing all processes and procedures in area of responsibility: New Hires, Employee Separations, Leaves, Wellness, and Job Descriptions.
• Assist the HR Representative 2 & 3 in processing leave requests, by working with Unum and GBCI HR as necessary (I.e. FMLA, military, vacation, sick personal), track status, paid time and benefit deductions.
• Assist in processing work comp claims and in supporting GBCI Wellness and Safety Coordinator as needed throughout the claim.
• Participates in regular meetings with the GBCI Human Resource Group.
• Assist in coordinating BSJ wellness activities in conjunction with GBCI Wellness and Safety Coordinator.
Additional Programs
• Assist in maintaining the BSJ HR email inbox.
Additional Responsibilities
• Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control.
• Adhere to Bank of the San Juans Company Core Values.
• Keeps management appropriately informed of area activities and of any significant problems.
• Participate in Community Service and Bank sponsored activities that serve and support the mission and values of the Bank of the San Juans.
• Provide superior internal and external customer service: must demonstrate self-governance, courtesy and respect toward external customers as well as internal customers (all organization personnel).
• Complete required bank and BVS training courses within assigned time frame(s).
• Represent Bank of the San Juans in a professional manner which includes a professional image, confidentiality, a positive “can-do” attitude, good attendance, punctuality, flexibility and adaptability in meeting bank and customer needs.
• Keep work area tidy and maintain customer privacy. Attends and participates in meetings as required.
• Additional duties as requested or assigned.
About You
QUALIFICATIONS:
• Completion of three years at CSU-Pueblo and working toward a degree in Human Resources, Management, finance, business or a related field.
KNOWLEDGE, SKILL, ABILITY:
• Basic understanding of Human Resource functions.
• Knowledge of all related computer applications.
• Understanding of Human Resource reporting and recordkeeping requirements

WORK ENVIRONMENT: Must be able to routinely perform work indoors in climate-controlled shared work area with moderate noise level.

Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance. Must be capable of climbing / descending stairs in an emergency situation.
Specific lifting abilities required by this job include: Medium work. Exerting up to 50 pounds of force occasionally, and/or up to 25 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
Specific vision abilities required by this job include: The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation/inspection of machines and/or using measurement devices at distances close to the eyes.
