A day in your life as a Payroll Specialist
Under the direction of the Manager, the HR Payroll Specialist is responsible for processing and validating the Bank of Hawaii Corporation payroll and other related duties. If applicable or appropriate, assists with the business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act. In addition, this position is responsible for demonstrating the Excellence in Sales/Service (ESS) philosophy by participating in and practicing ESS disciplines and behaviors.
We’ll give you these important responsibilities…
• Together with Manager, directs the preparation and distribution of Bank of Hawaii Corporation hourly and salaried payroll for all locations. Maintains earnings and deduction records. This includes, but is not limited to awards, bonuses, stock option exercises, termination/leave of absence transactions, 401(k) administration, and payroll deductions for taxes and insurance, etc. Keeps informed and abreast of current Bank policies and procedures; federal laws and regulations to ensure compliance.
• Recommends changes in methods, policies or procedures to improve the efficiency and effectiveness and compliance of the payroll function through awareness; comprehensive understanding of and use of available and potential resources and systems. Documents and implements approved changes.
• Answers straightforward inquiries from employees and managers regarding payroll issues and pay distribution. Researches questions and resolves discrepancies. Works with manager and other team members to answer more complex inquiries and identify and resolve problems. Increases knowledge with the goal of becoming a subject matter expert for outside parties, departments, managers and employees on payroll related issues. Works with the Manager to increase knowledge through various means.
• Together with Manager, oversees the preparation and distribution of state and federal tax information, W-2 and state tax forms, regulatory surveys, informational returns, reports and/or payments in accordance with all currently applicable payroll/employment, tax, pay and withholding regulations and laws. Works with manager and other team members to implement necessary changes to processes and procedures as required by changes in federal, state, and local laws and regulations. Assists in managing the day-to-day vendor process and may act as a point of contact for escalation and processing problems. Identifies problems, escalates to vendor, notifies Manager, tracks and ensures timely resolution. As assigned, communicate operational upgrades, conversions or enhancements to team and work to streamline and update processes and procedures.
• Performs other miscellaneous duties as assigned.
Qualifications

Education:
• Bachelor’s degree from accredited institution, major in business or related area preferred, or equivalent work experience.
Experience:
• Minimum 2 years of payroll or equivalent work experience.
• Requires working knowledge of state and federal tax laws and regulations related to earnings, deductions and payroll taxes.
• Experience processing multi-state, international or payroll of over 1,000 individuals preferred.
• Experience in other HR functions also preferred.
Technical Skills:
• Demonstrated proficiency and expertise with personal computers in a networked environment and Microsoft applications (Outlook, Word, Excel, Access, and PowerPoint) or similar software.
• Knowledge of or ability to use Bank software and systems.
• Familiarity with Lawson HRIS and Crystal Reports or similar systems and software preferred.
• Also requires the use of a microfiche reader.

• Able to meet deadlines and handle multiple priorities.
• Must be able to work within set payroll schedule.
• Demonstrated leadership and ability to manage vendors.
• Should have a friendly and competent customer service outlook and ability to work across divisions and departments to build strong working relationships.
• Demonstrated understanding of financial and business analysis.
• Able to work flexible hours including holidays, weekends and evenings as needed or assigned.
