Senior Project Manager, Enterprise Efficiency
Job Summary
As a member of the Enterprise Efficiency Office team, serves as a senior project manager for continuous improvement projects for Aflac's corporate divisions. Supports the Enterprise Efficiency Office (EEO) program to create a continuous improvement culture within Aflac’s Corporate functions, beginning with Financial Services, to drive out waste, improve cycle times, create sustainable results, and enable corporate divisions to meet their 5 year efficiency targets.
Principal Duties & Responsibilities
Project manage continuous improvement projects focusing on Finance business processes initially and then moving to additional corporate business units; Leads continuous improvement projects resulting from Project and Leaders CI initiatives; Responsible for the successful delivery of projects involving multi-functional project teams with resources from multiple divisions including Global Risk, Actuarial, Human Resources, Compliance, Global Investments, and others as identified; Performs project planning, tracking and reporting, risk and issue management, and resource assignment and allocation; Works with project teams to identify key performance indicators (KPIs) to assess progress against objectives; Assists in identifying data required and collection methods; Ensures routine reporting and postings on visual management according to program standards, especially for visual management
Leads Lean / CI events; Learns and applies Lean methodology to improve corporate business processes; Facilitates scheduled events designed to advance Daily and Project CI initiatives, including but not limited to visual management, value stream mapping, root cause analysis and problem solving; Ensures each event results in expected outcomes and deliverables, including but not limited to daily huddle boards, daily team meetings, As-Is and To-Be process maps, gap analysis, assessment of solutions against impact and effort, and others to be identified; During events, analyzes information provided by the teams to dive further into pain points, inefficiencies, potential areas of waste, etc.; Recommends improvement actions to teams during the event; Recommends next steps when de-briefing the EEO team on outcomes
Contributes to the overall program strategy, development, and priorities; Collaborates with EEO team members on the strategy for program execution, including inputs from Leaders CI identified priorities, division business objectives, and executive leadership objectives; Understands the business calendar and commitments to ensure teams are not over-burdened; Works with EEO leadership to build program road map; Looks for ways to continuously improve the CI program; Defines countermeasures and execute on proposed changes
Contributes to change management strategy and execution; Collaborates with EEO team members to ensure adoption and sustainability of the changes from Daily and Project CI initiatives; Identifies key stakeholders and analyzes where they are within the CI maturity model; Collaborates to define strategy to move key stakeholders along a change curve as needed; Execution activities will include communication planning, communication execution, lunch-n-learn events, training, and other organizational readiness activities as identified; Identifies areas (teams or individuals) of change resistance, and collaborates with EEO team to resolve
Leads program routines and activities as needed; Contributes to maintenance of knowledge management (training and support materials); Contributes to defining program standards and documents/ builds as needed (as identified through CI Support); Contributes to and manages CI Support materials and postings on CI visual management; Ensures CI visual management readiness prior to scheduled CI meetings
Performs coaching to develop individuals and teams; Participates in audits to evaluate CI tool usage and effectiveness; Identifies areas for improvement and partners with teams to improve; Focuses on coaching and building knowledge of the team members to ensure sustainability; Recommends to the EEO additional coaching and support measures needed to continue to build team capabilities; Ensures compliance with key person dependency risk identification and required training
Contributes to or develops executive leadership presentations as needed; Collaborates with EEO leadership on messaging and presentation of program status and benefits to leadership; Assists in building materials for senior management including Steering Committees and other standing and ad hoc leadership sessions
Performs other duties as assigned
Qualifications
Education & Experience
Experience managing medium to large-scale projects, to include planning, tracking and reporting, risk and issue mitigation and management, and resource assignment and allocation
Experience in or exposure to business process improvement and/or re-design
Prior experience in a consultative or problem solving environment
Master's degree preferred
Project Management Professional (PMP) Certification preferred
Six Sigma, Lean, Business Process Management, or ISO certification or experience preferred
Job Knowledge & Skills
Solid knowledge of project management principles
Proficiency with MS PowerPoint and Excel, including graphing, data analysis, and pivot tables
Understanding of the Change Curve (or similar Change Management model)
Understanding of Process Mapping
Understanding of key performance indicators and data gathering methods
Understanding of the concepts of effective facilitation
Microsoft Visio and Microsoft Project preferred
Knowledge of GAAP accounting and other Financial Services concepts preferred
Ability to travel, as required, including international travel
Desire to learn
Ability to be flexible in a fast-changing environment
Excellent interpersonal skills with ability to work as part of a team to achieve success
Leadership skills to effectively manage a cross-functional project team in a matrix environment
