The Payroll Analyst II is responsible for various aspects of the client’s payroll, including administration, distribution, and record-keeping. S/he is responsible for providing accurate data in the preparation of the client's payroll and requires an individual who can work well in a fast-paced, high volume environment. S/he relies on experience and judgment to plan and accomplish goals.
The below functions reflect the general details of the essential work activities and accountabilities of this position and are not all inclusive. Other activities may be assigned.
Payroll Processing: Input, verify and transmit payroll data for firm clients. Requires communication with clients to gather necessary information. Some payrolls may be complex in nature and involve reviewing work of the Payroll Analyst I. Process bonus payments and other special payrolls upon request. Prepare check requests for payroll reimbursement, taxes due, child support payments, etc. Deliver reports and checks to clients. Set up new earnings codes, deductions and accumulators as required. Prepare schedules for file. Update payroll software with any tax rate changes and update G/L interface as needed.
Employee File Maintenance: Update the payroll system for new hires, terminations, salary changes, department changes, or any other pertinent payroll information received from the client. Process requests for payroll deduction changes, including changes to tax withholding amounts, garnishments or fringe benefit deductions. Update account information and amounts for direct deposit as necessary. Coordinate deduction changes with any annual limitations on cafeteria and retirement plan limitations. Retain client and employee change information in accordance with firm policies.
Reports: Prepare quarterly payroll tax reports as needed. Prepare payroll journal entry reports as needed. Assist with verification and distribution of W-2s at year-end. Process FMLA and LOA correspondence each pay period during duration of FMLA/LOA, for correct hours/dollars paid, and manually adjust deductions accordingly.
Income Verifications: Complete mortgage and SUI verifications, if requested.
Other: Assist with workers’ compensation audits, preparation of employee census data, uploading retirement plan contribution data to TPA or custodian, process year end fringe benefit additions, and respond to tax notices as necessary. Other duties may include reviewing quarterly payroll tax returns, consulting on compensation and benefits questions from clients, and on-boarding of new clients and business including the interpretation of a variety of client data.
The Payroll Analyst II works under general supervision and reports to an Accounting Manager/Controller/CFO, Payroll Manager or Principal
Experience: 3 years of payroll experience
Education: High school diploma or equivalent
