American Express is looking for a high-performing Executive Administrative Assistant to support two local SLC based Vice Presidents located in a large world-wide team in the Commercial Rating and Underwriting department, which is part of Risk Management.
You must be capable of handling a wide range of administrative tasks, while working independently and expertly. Understanding the prioritization of requests, building positive relationships, and being able to navigate large, complex organizations fluidly will be essential for success in this role. You will interface and work with several other Administrative Assistants within American Express, and in some cases, senior-level leaders. The candidate much use considerable discretion, independent discernment, and be able to multitask.
Qualifications

• Experience supporting executives within a high-paced, complex environment.
• Experience and handling confidential and sensitive information with discretion.
• Experience with administrative tasks that support an efficient environment.
• Strong work ethic, highly self-motivated, with willingness to take direction.
• Ability to multitask, prioritize and handle pressure in a dynamic environment.
• Ability to be dedicated and take initiative to anticipate needs.
• Ability to handle multiple priorities within deadlines while demonstrating flexibility.

• Strong MS Office experience: PowerPoint, Excel, Word, Outlook.
• Knowledge of Concur, Ariba, and various administrative tools preferred.
• Requires a high school diploma; college degree preferred
• Minimum 5 years full time work experience with strong references.
Responsibilities
• Being the initial liaison and primary communication point person of the VP's for all senior leaders, teams, external client/partners, and other EAs.
• Organization and maintenance of complex calendars using a high level of integrity, running across senior leaders of AXP, different time zones, and international markets.
• Organizing internal and external meetings including team events, making all necessary arrangements including sending invitations, booking rooms and arranging catering, and setting up technology (WebEx, projectors, etc.)
• Making complex travel itineraries, including air, hotel, transfers and visas.
• Creating and maintaining distribution lists and organization charts.
• Ensuring timely preparation and processing of expense reports and invoices; review expenses submitted for approval and highlight any out-of-policy spend.
• Overseeing timely processing of weekly payroll and exception requests.
• Owning on-boarding and/or off-boarding processes of new employees, including space planning, equipment orders, and/or supplies.
• Assist with recruitment process, relocation and new-hire coordination, and onboarding / requesting various systems access.
• Ad hoc requests and project work for leadership and the overall team, such as completion of a quarterly global team newsletter (a recent tradition!).
