Business Overview:
BNP Paribas’ Global Markets business offers a broad range of products and services in the global interest rate, credit, currency, equities & commodity markets. Global Markets help their franchise of clients find effective ways to raise and invest capital as well as manage their exposure to risk. Their client base comprises of hundreds of corporations, institutional investors, banks, governments and supranational organizations.
Responsibilities:
• Calendar Management – complex agenda and setting of meetings across all time zones
• Schedule and track client meetings and support, including Board and Regulatory meetings
• Domestic & International Travel arrangements; expense claims, expedited travel services
• Coordinate webcasts, video and telepresence conferences as needed
• Preparation and coordination of departmental meetings, events, and Town Halls.
• Creating, editing and preparation of emails, organization charts and presentations.
• Managing logistics for visitors
• Assist with the onboarding process of new hires and transfer candidates.
• Ordering, replenishment, arrangement and distribution of departmental supplies.
• Management of incoming and outgoing phone calls and communications
• Maintain current e-mail distribution lists in Outlook
• Modification and distribution of departmental reports.
• Completion of any reasonable projects or tasks, as requested by management.
• Manage principals' inbox/outbox with extensive follow up as needed
The staff member will make use of several application systems including:
• Coupa – Supplies and IT Procurement.
• My IT / Sail Point – Request management tool for IT security activities.
• HRG and Concur – Travel scheduling and expense reporting.
• Tom Net and Clock Net – Staff attendance and work hours tracking
• FedEx Online – Express mail labeling and postage.
• Use of Outlook. And Microsoft Office application
Minimum Required Qualifications
• 6 - 10 years of relevant Executive Assistant experience supporting department heads or C-level executives, preferably within a financial institution.
◦ Strong understanding of Front Office principles and processes for providing customer and personal services.
• Excellent communication both verbally and non-verbally, with co-workers and all levels of management, utilizing tact and confidentiality.
• Excellent organizations skills – candidate must be detail oriented, flexible and enjoy the administrative challenges of supporting executive level employees.
◦ Ability to prioritize multiple tasks.
• Experience handling confidential materials at all levels.
• Solid user skills in Microsoft Office applications (Word, Excel, PowerPoint) and Outlook email and calendar tools.
• Ability to interact with staff (at all levels) in a high energy, high pressure environment.
• Exhibit initiative, flexibility, resourcefulness and efficiency, with a high degree of professionalism and confidentiality
• Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.
Preferred Qualifications:
• Bachelor’s degree preferred.
