POSITION GOALS
The Facility Coordinator (FC) is the client primary contact where smaller scale move management and mail room services are critically important. As part of the Integrated Facility Management model, the FC will listen to the voice of the customer in order to ensure consistent service delivery. The FC must be a team player and work with mail room clerks, third party vendors, account team, movers and all other necessary parties in order to meet all key performance indicators as set out in the master service agreement.
DUTIES AND RESPONSIBILITIES
• Managing/coordinating mail room services and overseeing "small scale" moves, includes tracking pick-up, delivery of incoming and outgoing mail delivery and personnel moves of an appropriate size and scope.
• Ensure all site management and operations practices are in compliance with company and client standards.
• Communicate/Escalate with appropriate parties (assistant facility manager, client, service providers, E&O, etc.) as needed.
• Work with mail room clerks to ensure mail room services and other services provided meet or exceed KPI thresholds.
• Cultivate and maintain a positive working relationship with managed staff, client representatives (JLL or external) and service providers.
• Performing day-to-day oversight/monitoring of mail room services and follow-up and completion of "small scale" moves for client.
• Move planning, execution and follow-up in addition to appropriate tracking of move data and associated mail room reporting.
• Managing third party contract work and, if applicable, engaging and correcting landlord related issues related to facilities management.
• Coordinate and provide overall performance reporting of mail room clerks.
• Establish/coordinate access into necessary service request applications as needed.
• Coordinate portfolio and responsibility changes with data management team to update location service matrix as needed.
• Train vendors/engineers on all applicable software platforms as needed (BearTracks, CMMS, etc.)

EMPLOYEE SPECIFICATIONS
KEY COMPETENCIES
• 2-4 years of experience in a professional, fast paced environment.
• Basic knowledge of building repair and maintenance, move management and mail room services.
• Proficiency with Microsoft Office Suite including, Outlook, Word, PowerPoint & Excel.
• Attention to detail.
• Strong organizational and analytical skills; problem solving ability.
• Self-starter and team player.
• Proven record of excellent internal and external customer service.
• Communicate professionally in a clear and concise manner (verbal and written).
• Demonstrate highest professional standards of behavior and follow the JLL Code of Ethics policy.
• Flexibility with working hours.
