Senior Occupancy Planner, San Francisco, CA
Note: This role is for corporate workplace planning, versus design-focused candidates.
Currently, we are seeking a Senior Occupancy Planner (Team Lead) to join our Occupancy Planning practice dedicated at the client site.
Supports the occupancy planning function as a senior point of contact. Manages the supply, capacity and demand of a building, campus or region portfolio of space at the business unit level. Within the portfolio, can answer: how much space is currently available, what are the workplace conditions, and what are headcount projections by business unit? Specifically, the responsibilities include:
• At regular intervals, summarizes findings and recommendations for action or consideration by the client;
• The status of major initiatives affecting planning decisions for the sites;
• Develop migration plans and complex sequencing of group-level moves (unless managed by local MAC).
• Facilitates and/or resolves planning issues identified in the internal customer planning meetings;
• Ensures planning is aligned with corporate guidelines, and that all scenarios maximize use of space;
• Recommends, educates and enforces space policies/standards, procedures and protocols and notifies client of customer requested exceptions;
• Provides oversight of space audits (including seat assignments, occupancy, vacancy)
• Assist in developing site-specific Planning Strategies with Senior Leadership.
• Assemble and regularly report the top-down and bottoms-up seat count projections collected at the group-level for an annual planning horizon and reconcile discrepancies with tops-down projections
• Track and report actual seat demand at the group level;
• Report actual seat demand versus projected seat demand at the building level
• Compare over time, seat demand versus projected seat demand at the building and business unit level
• As necessary, participate in project and move coordination planning meetings;
• Prepares building specific stacking plans;
• Reports the current supply and capacity, and forecasts inventory changes
• Support the implementation and provides leading oversight to the Client space data management CAFM system and data validity.
To ensure accurate reporting of information, and foster critical relationships between various individuals and organizations, communication channels will exist with:
• Tactical MAC planner, who will lead daily moves, migration plans and space audits; including meetings with Business Unit leadership to collect headcount forecasts and resolve discrepancies between leadership’s numbers and those collected at the group-level;
• Corporate Finance group to gather Top-Down projections
• Corporate Real Estate to review and resolve planning forecasts, needs, concerns, and issues;
• Collaborate with Project Management and Facility Management
• Project management to review stacking strategies and to provide workload forecast related to project moves that are planned to occur based on occupancy plans/strategy.
• Other planners to ensure occupancy strategy plans are developed.
Education / Yrs of Experience
• Bachelor's Degree in Business, Finance, Architecture, Construction Management, Commercial Design or related field with a minimum of 5-7 years of experience in a corporate real estate environment.
• Background in Real Estate Project Management, Construction Management Architecture or Engineering desirable. MBA preferred.
• Previous experience in space/occupancy planning at a strategic level, project management experience with interior office renovation / improvement processes, and the real estate life cycle.
• Familiarity with alternative workplace strategy programming and change management a plus.
