POSITION SUMMARY:
The ideal candidate will contribute to the overall success of the team by providing ongoing executive administrative support and assistance to a fast-paced team of senior leaders of the company. Primary responsibilities will be to support the day to day duties/tasks and operations of the team. All tasks, responsibilities, and assignments must be completed with the highest level of quality, confidentiality, and the utmost attention to detail.
Additionally, this individual should possess a high level of professionalism, experience working with executives, must be an energetic self-starter, have an exceptional level of problem solving skills, the ability to work well within a team environment, and excellent communication skills (both written and verbal). The right candidate may be asked to work overtime on occasion.
KEY RESPONSIBILITIES AND DUTIES:
Perform a range of diverse administrative activities for the department such as (but not limited to):
• As a representative for (and the voice of) the Company’s lead tax and estate planning attorneys, receive incoming calls from the Company’s largest individual relationships and interact with these clients in a kind, highly professional, confidence instilling manner.
• Coordinate and communicate meetings for high-net-worth clients in multiple locations across multiple time zones.
• Maintain calendar for executives.
• Create internal/external correspondence using Microsoft Office products (Excel, PowerPoint, Word, etc.).
• Compile client data and research.
• Make travel arrangements and complete expense reports.
• Order office supplies and marketing materials.
• Schedule and set-up internal meetings/conference calls/catering as required. Act as liaison for office facilities and maintenance issues.
• Assist teammates; cover other duties during vacations.
QUALIFICATIONS:
Minimum Requirements:
• Minimum 5 years Executive/Senioradministrative experience
• High school diploma
• Highly skilled in proofreading
• Energetic, friendly, positive mindset towards serving clients and working within the team
Desired Skills:
• Strong interpersonal skills and ability to apply them to all levels within the business unit & externally
• Bachelor’s Degree
• Proficiency in MS-Office Professional: Outlook, Word Excel and PowerPoint required, SharePoint and ongoing familiarity with Concur & other HR systems a plus
• Highly developed organizational and time management skills
• Able to multi-task and perform tasks in a fast-paced, team oriented environment with high accuracy
• Ability to manage multiple working relationships with professionalism
• Detail oriented and with strong attention to follow-through and professional image
• Knowledge of or ability to learn TIAA policies and administrative procedures
• Knowledge of or ability to learn TIAA organizational and business structure
• Team player, self-starter, flexible with time
• Ability to step outside of the scope and accountability of principal responsibilities
• Ability to maintain high integrity and confidentiality
