Position Goals
• Ensure client satisfaction throughout MAC processes
• Ensure all activities are performed in a manner consistent with the contract and documented processes
• Ensure compliance with all key performance indicators
• Ensure compliance with all financial accounting processes
• Ensure compliance with all environmental restrictions related to job and scope of work
Deliverable Role/Responsibilities
• Ensures portfolio-wide consistency in delivery of services
• Prepares, maintains and conducts financial analysis as requested
• Direct point of contact for all MAC purchasing functions supported through the Finance Department
• Ensures that MAC processes are managed and operated according to current policies and procedures.
• Evaluates tasks and overall vendor performance to ensure the client’s standards of performance are met
• Incorporation of “best practices” into all aspects of MAC activity
• Responsible for maintaining, streamlining and continuously improving standards
• Initiates/attends meetings as required to review project schedules with vendors and key stakeholders
• Manage supporting suppliers (furniture, movers, trades, technology etc.)
• Evaluate vendors to ensure compliance with the standards of performance
• Review, authorize and manage vendor quotes and invoices
• Lead vendors in prompt resolution of service issues; provide constructive feedback and daily coaching to help group members achieve their performance objectives
• Assist with oversight and coaching of internal Work Order Coordinators
• Maintain working knowledge of, and ensure compliance with, Master Services Agreement, performance outcome requirements, and any relevant accounting processes
• Support all vendor related issues including but not limited to, missing or inaccurate invoicing, payment concerns, and questions on goods receipting process
Interactions
Facilitate communication between the following stakeholders:
• Client Operations Managers
• Client Occupancy Planners
• JLL Site and Regional Management
• JLL Program Management
• Vendors and supporting suppliers
• Project Managers/Coordinators
• Move Management team lead
Technology Proficiencies
• Excellent computer skills, including proficiency in Microsoft Office, advanced user of Excel (charts, pivot tables, lookups)
• Ability to utilize the Microsoft Office suite of technologies
Experience
• Four to six years of Move Management experience is desirable
• Must have the ability to effectively manage low performing suppliers and drive them towards improvement
• Must have attention to detail and problem solving skills
• Must posses excellent follow-through
• Strong organizational and time management skills
• Able to work independently with minimal supervision
• Ability to multitask, work successfully under pressure, and effectively prioritize and manage time and workload to meet client needs
• Maintain a positive, proactive and professional demeanor while operating in a fast paced environment
