Job Summary / Responsibilities:
• Perform duties such as scheduling meetings, keeping calendars, making travel arrangements, setting up conference rooms, answering and directing incoming phone calls as appropriate, assisting the production and distribution of mailings and other materials, opening and sorting incoming mail, photocopying, and maintaining informational files, supplies and office equipment.
• Primary contact for handling confidential business matters, including extensive coordination and communication with Bank's external clients, interaction with internal department heads, generation of business correspondence, arranging official trips, and full coordination of extensive board meetings.
• Process all expenses related to the Executives.
• Perform all other duties as assigned by Executives.
• Cover and assist the neighboring secretaries, especially when away from their workstation or busy.
• Provide assistance and support to all the bank Executives visiting New York.
• Perform related duties and participate in special projects as required.
• Conduct Self-Inspection and Compliance check.
• CIB Staff provides administrative support to BTMUS Registered Representatives.
Qualifications
• 2-3 years of Executive Administrative experience.
• Excellent organizational and multitasking skills.
• Strong interpersonal skills.
• Bilingual in Japanese/English oral and written skills.
• High degree of proficiency with Microsoft Word, Excel and PowerPoint, and Lotus Notes; experience with Access is a plus.
