Job Description:
The Corporate Services team is dedicated to customer service and hospitality by providing all employees and clients with an exceptional overall experience from the moment they enter a Dimensional building. The Receptionist will be responsible for maintaining front desk duties while fielding calls and visitors.
DUTIES & RESPONSIBILITIES
• Provide administrative assistant coverage support for departments across the firm as requested
• Perform diversified administrative functions and services
• Coordinate hotel and flight accommodations for employees traveling to client meetings around the world
• Track and submit expense reports monthly for traveling employees and department expenses
• Coordinate and manage calendars, meetings, and agenda items for department heads and teams
• Update client information as requested using the firm’s client database
• Serve as the main back up for Receptionists to answer incoming telephone inquiries and field calls appropriately
• Assist with meetings and events as needed
• Serve as a building representative for life safety and evacuation procedures
• Special projects as assigned
QUALIFICATIONS
REQUIRED
• Bachelor's degree required or relevant work experience
• At least 2 years of receptionist or administrative experience in a corporate environment
• Excellent verbal and written communication and interpersonal skills
• Excellent problem solving skills
• Detail-oriented and organized
• Able to work equally well in a team environment and independently
• Self-starter who is capable of managing multiple projects and meeting deadlines
• Strong computer skills (Excel, Work, and Outlook) with the ability to learn programs as needed
• Able to work well under pressure
• Flexible
• Professional appearance and demeanor
PREFERRED
• Experience using a call management software
• Familiarity with investment advisory or mutual fund operations
