Job Description
Working as part of a multi-person team, the Executive Assistant provides full administrative support to Managing Directors, Directors, Portfolio Managers, Associates and Analysts on an accurate and timely basis, with primary responsibility for a specifically-identified group.
Role-Specific Accountabilities
• Provides full administrative support including handling incoming and outgoing correspondence, mail and email with both internal and external parties, as well as faxes/scans, expense reports, maintenance of filing system, photocopying, etc., all in a professional manner.
• Handles highly sensitive and confidential matters relating to the daily activities of the group.
• Assists with making arrangements for internal and external meetings, conferences, teleconferences, luncheons, dinners and travel.
• Establishes, organizes and maintains files, reference and reading material as well as organized collections of confidential information memoranda, marketing materials and similar documents.
• Assists in the preparation of correspondence, reports and presentations using the entire MS Office suite as appropriate (Word, Excel, PowerPoint, etc.)
• Works cross-functionally with other team members and department.
• Works on a highly cooperative basis with, and provides back up to the, New York office’s Office Administrator, all on a highly “team-oriented” basis.
• Develops a detailed understanding of applicable CPPIB and REI policies and procedures.
• Interfaces professionally and personably with Senior Executives from partners and other business counterparties.
• Other duties as assigned.
Qualifications
• Minimum of 7 years experience in an Administrative or Office Manager role, ideally gained from the professional services sector.
• Proficiency with MS Office applications, specifically Outlook, Word, PowerPoint, and Excel.
• Strong verbal and written communication skills, interpersonal and problem-solving abilities.
• Excellent organizational and time management skills gained from providing administrative support to more than one individual.
• Proven attention to detail and accuracy.
• Experience working with and supporting multiple levels in a financial services and real estate investment organization.
• Ability to work both independently and as part of a team on a highly co-operative and interactive basis.
• Ability to readily adapt to a fast-paced and rapidly-changing environment and function well in a high-performance, deadline-oriented culture.
• Displays a high degree of professionalism, with the ability to manage internal and external relationships.
• Motivated, eager to learn and determined, with a desire to develop within a role and organization.
• Behaves in a manner consistent with our Guiding Principles of Integrity, Partnership and High Performance.
• College diploma or university degree is preferred.
