Position Summary
The Office of the Chief Technology Officer (“CTO”) is seeking an Executive Assistant to join the team in the NY office. The position is responsible for providing administrative support for the SVP – Chief Technology Officer and supports other administrative needs in the department. General responsibilities include arranging meetings and managing calendars, making travel arrangements, handling expenses, serving as a liaison between the executive officers and various constituents, preparing meeting materials, and handling various administrative duties and projects in support of the Chief Technology Office.
Primary Responsibilities:
• Manage complex calendars and meeting schedules.
• Serve as a liaison between the executives and various internal and external constituents.
• Coordinate meetings and manage meeting set-up and logistics as needed.
• Coordinate travel and handle travel expenses (i.e. Amex corporate card).
• Handle invoices, check requests and wire transfers through A/P & Treasury.
• Assist with new hire and consultant/contractor onboarding.
• Assist with space planning/seating arrangements for Technology personnel in NY.
• Order department supplies and manage facilities issues and requests.
• Manage and/or participate in special projects and/or ad hoc duties as directed or in collaboration with other administrative support team members in technology.
Qualifications:
• Bachelor’s degree
• Minimum of 1-3 years of executive administrative support or related experience.
• Strong communication skills including the ability to interface with individuals at all levels in a professional and efficient manner.
• Ability to multi-task and take ownership and initiative in completing assigned work.
• Strong attention to detail and superior organization skills.
• The ability to proactively anticipate needs and apply appropriate solutions.
• Strong computer skills including proficiency in MS Office (Word, PowerPoint, Excel).
• Strong desire to learn, always seeking new ways to improve upon existing processes.
Project management experience a plus.
