Job Description
Baird’s Equity Asset Management has been a trusted equity asset manager for institutional and individual investors across decades and diverse market environments. Chautauqua Capital Management, a division of Baird, specializes in managing international and global equity portfolios. The team is made up of industry veterans with an average of more than 20 years' experience. This highly visible Administrative Assistant role provides administrative support to the team using strong organizational skills and exceptional client service. The position is based in our Boulder office and offers a fast-paced environment perfect for a highly proactive, organized professional.
As an Administrative Assistant, you will:
• Provide phone and administrative support to the team, including welcoming and servicing guests and clients, maintaining the common areas of the office and ordering supplies.
• Represent Baird in a professional manner both internally and externally through telephone and in-person contact. Addressing inquiries will require knowledge of the department's overall function, policies, procedures, or services. Proactively locate and engage team members for important callers/visitors when appropriate.
• Plan, coordinate and arrange meetings and functions (client/vendor meetings, luncheons, conferences, etc) including coordinating schedules, meeting rooms, menus, travel arrangements, presentation materials, etc.
• Make domestic and international travel arrangements, prepare itineraries and communicate with team members to keep them informed of upcoming events.
• Process and submit expenses for team members through Concur system in a timely manner
• Assist team with Salesforce database needs. May involve entering business card information, updating relationships of client and bankers, updating parties during cycle of engagements and creating buyer lists.
• Manage incoming and outgoing mail, including managing mass mailings to clients.
• Scanning documents for electronic filing, general organizational assistance, and various other duties as assigned.

What we look for:
• Associate’s or bachelor’s degree preferred.
• Administrative experience working with multiple team members, including experience coordinating schedules and travel and expense processing.
• Professional demeanor with strong oral and written communication skills.
• Must possess an innate sense of urgency, with a true desire to go above and beyond to service clients
• Robust worth ethic and genuine curiosity to learn.
• Strong organizational skills with the ability to prioritize and handle multiple tasks simultaneously.
• Ability to work independently in a fast-paced environment with general supervision. Must be proactive, have good follow through skills and work effectively as a team player.
• Ability to complete work projects with speed and accuracy, often under pressure and/or short deadlines.
• Strong technology skills with knowledge of Microsoft Outlook, Excel, Word and PowerPoint. Knowledge of Salesforce CRM and Concur expense processing preferred.
• Demonstrate reliability in attendance and work performance.
• Ability to handle confidential information with discretion.
