Main Roles & Responsibilities of Facility
Coordinators
The Facility Coordinator provides direct support to the client’s Regional Property Manager, employees and visitors as well as to JLL’s Operation Manager and engineers.
• Oversee Service Providers
◦ Janitorial Service Provider
# Daily and weekly building inspections
# Participate in weekly service meetings providing direction to janitorial management
◦ Carpet Cleaner Service Provider (JLL contract)
# Set, coordinate and oversee schedule
# Notify Security, etc. of carpet cleaner visits.
◦ Plant Service Provider
# Set, coordinate and oversee schedule
◦ Paint Service Provider
# In some locations, set, coordinate and oversee schedule - painter with engineering teams
# Maintain vendor badges
• Maintain current work order status in the One View system and the 360Facility system
◦ Enter work orders when necessary on behalf of the client, add notes as work progresses and close when completed.
◦ Monitor SLA completion dates on work orders to ensure they do not become overdue, request PM approval, and adjust when necessary.
◦ Redirect work orders that are assigned to wrong vendor.( or location)
◦ Create, update and send out service provider reports to local service providers to ensure they are meeting SLA requirements (putting work orders into progress, closing on time, etc.)
◦ Request NTE increases and approvals
◦ Research and respond to Negative Surveys
• Finance
• Create Purchase Orders and monitor spending per established budget
• Janitorial inspections
◦ Submit work orders to service providers and or engineering when applicable, keeping within assigned budget
• Provide backup to other FCs
◦ Provide coverage during PTO, sick time or other absences when assigned
• Meetings
◦ Attend meetings as required
◦ Conduct meetings as required
EMPLOYEE SPECIFICATIONS:
The ideal candidate should possess 2-4 Years of experience in a professional faced paced environment.
College degree preferred but not required with established track record.
Proficiency with Microsoft Office
Understanding of a Work Order system (360 Facility or similar)
Strong attention to detail, organizational and analytical skills
Self-starter and team player
Customer Service skills both internal and external
Ability to communicate professionally in both written and verbal form
