Business Overview:
We are currently seeking an Employee Relations professional (with 4+ years of experience, preferably working with financial services clients) to join the Human Resources department’s Employee Relations team. Reporting to the Director, Head of Employee Relations, the Employee Relations Specialist (ER Specialist) provides advice, support, and resolution to managers, HR Business Partners (HRBPs), and COEs on a broad range of escalated employment issues including HR policy interpretation, disciplinary performance management, HR investigations, employee discipline and misconduct, and remediation of employment-related disputes. Supports policies that help ensure legal and policy compliance, support the organizational strategy, and promote a positive environment and culture within the organization. Work in partnership with Employment Legal Counsel to provide input regarding risk in order to help develop options and recommend an appropriate course of action in different business situations. May also assist HR leadership in the development of short- and long-term strategies for the Employee Relations function.
Responsibilities
Employee Relations Management and Support:
• Acts as a key point of contact for employees for employee relations issues. May also support or take escalations from HRBPs and / or Attorneys regarding employee relations matters. Facilitates the flow of information and assures that appropriate parties are kept up to date while maintaining the utmost confidentiality regarding employee relations activities
• Provides advice, support, and resolution to managers, HR Business Partners (HRBPs), and COEs on a broad range of escalated employment issues including HR policy interpretation, disciplinary performance management, HR investigations, employee discipline and misconduct, remediation of employment-related disputes, and employee terminations
• Coordinates reductions-in-force, including working with the business to assess their future needs and structure, works with employment legal counsel to vet decisions and assess legal risk, generate agreements, prepares managers for termination meetings, and works with HRBPs to coordinate termination day logistics
• Assists and participates in conducting disciplinary meetings, warnings, and related documentation. Supports managers as necessary with conversations relating to discipline, termination, and related topics
• Conducts internal investigations into employee allegations of harassment, discrimination, retaliation, threats, violations to HR policies and other employment / legal matters
• Provides baseline guidance on matters relating to the ADA, Title VII, ADEA, FLSA, and other related employment law matters
• Facilitates activity, flow of information, and articulation / implementation of company responses by partnering HRBPs, managers, and employment legal counsel. Coordinates any necessary documentation and actions with employment legal counsel
• Recommends prompt and effective remedial action to address claims of harassment, discrimination and / or retaliation
• Follows best practice investigation techniques, including the preparation of investigation outlines, investigative reports, notes, and other supporting documentation, all while maintaining the strictest confidentiality and professionalism. Exercises professional investigation techniques to obtain employee cooperation with investigations and other HR queries. Acts as a neutral party to support an objective perspective
• Determines the necessary information to be collected under guidance of employment legal counsel, then coordinates efforts with the COEs and HR-SSC to obtain and analyze the necessary qualitative and quantitative data
• Helps employees, supervisors and department heads settle work-related conflicts through advice and recommendations
• Maintains detailed records of investigations or other employee relations matters and all remediation taken
• Utilizes case management system to track, monitor, and manage employee relations issues and trends, and generates quarterly and ad hoc reports based on data tracked
• Supports quarterly lunch and learns, newsletters, and internal HR trainings
• Assists employment legal counsel in coordination of documentation related to HR employment litigation
Assure Compliance and Adherence to Business Objectives:
• Assists management with the execution of compliance programs, internal audits, external audits, and government audits
• May assist management in adhering to business objectives and costs by providing data, input, review, analysis, modeling, or other information and support
• Work with the HR Operations team to review and assist with the ongoing development, evaluation, and maintenance of documentation (e.g., Standard Operating Procedures, Work Instructions) to ensure complete, accurate, and up-to-date depiction of processes
• Maintains accurate records on employee departures and severance to ensure compliance and accuracy of employee separations
Special Projects / Program Management:
• Support major projects such as acquisitions, divestitures, or restructuring related to assigned functional area
• Partner with other groups to coordinate service delivery strategies and processes across the organization. Participate in, lead, or support cross-functional service center projects and ensure timely completion of assigned responsibilities within established constraints
• May develop (or assist in the development of) and/or conduct related training programs for employees and management staff
Minimum Required Qualifications:
• Bachelor’s degree or equivalent education, training, & experience required
• 4-6+ years of employee relations experience, including significant experience conducting investigations
• Demonstrated proficiency in creating and generating metrics based trend and statistical reports
• Demonstrated proficiency with Microsoft Excel
Preferred Qualifications:
• HR experience within a financial services organization
• Experience with an HR information system (e.g., PeopleSoft, case management system)
