Job Summary
This position is the lead administrative role in the business unit who acts as a liaison between senior management (i.e. AVPs and VPs) and the administrative support team. This working supervisor performs complex administrative support for senior department staff and has coordination responsibilities for a team of administrative professionals that includes coordinating work assignments as needed, training new employees, organizing team training, and consolidating and delivering performance feedback.
Essential Duties & Responsibilities
Performs a combination of duties in accordance with departmental guidelines:
1. Assigns, distributes and coordinates overflow and pooled work for the business unit, ensuring consistent, efficient and timely delivery of administrative service to department leaders.
2. Mentors administrative staff and plays a liaison role for various aspects of the team, including coordination of learning and development opportunities, training new staff and coordination of performance feedback from senior leaders to individual team members.
3. Manages time keeping, coverage, and overtime spending for the administrative team and provides input to management for the team’s annual budget forecast.
4. Represents the administrative team in meetings with management to set direction for the team including budgets, staffing models and performance goals. Has significant input into the hire/fire decision of subordinate support staff. Communicates issues that impact service levels, bringing ideas for resolution.
5. Generates ideas for improvements within the team, department or business unit and implements approved changes; drives continuous improvement.
6. Coordinates and resolves business unit problems and customer issues independently and proactively, escalating as appropriate. May deal with issues that are sensitive or confidential in nature, and of high visibility.
7. Provides outstanding customer service, acting with the appropriate sense of urgency.
8. Coordinates special projects for senior management, collaborating with others as needed.
9. Independently composes and distributes correspondence, memos, and other complex documents and reports, which require the use of office technologies and software applications.
10. Plans, schedules and coordinates meetings, conferences, travel arrangements and maintains the business calendar for various executives. Attends meetings, seminars, etc. and records notes or provides information as needed.
May perform additional duties as assigned.

Education & Experience
1. Typically a minimum of 5 years of strong administrative support experience.
2. Some college course work desirable.
3. Previous leadership experience desired.
