Position Overview
The Loan Documentation Officer is responsible for completing and reviewing loan files as well as ordering due diligence associated with the satisfaction of approval conditions prior to the preparation of loan closing and renewal documents for approved SBA guaranteed loan transactions. These responsibilities include requesting, reviewing and critical interpretation of vendor documents needed to prepare loan closing/renewal documents for real estate and non-real estate secured loans originated by Commercial Lending Relationship Managers and SBA Product Specialists. Vendor documents consist of but are not limited to the following: residential and commercial appraisals, valuation services, environmental reports, flood certifications, entity documentation, tax returns, lease agreements, life insurance policies, UCC searches, title searches and any other documents as required by the bank and/or SBA.
The position will be responsible for application entry into SBA specific software and is the key liaison in reviewing and communicating file variances to the deal team members. The SBA Documentation Specialist is expected to effectively communicate file findings to minimize the average time between the issuance of a final underwriting decision and the request for loan documentation and due diligence. Working independently and under minimal supervision, the position performs a wide variety of administrative functions relating to proper documentation and file adequacy and does have to make determinations on the banks behalf to determine SBA eligibility.
Duties and Responsibilities
• Verify credit file is complete prior to submission to underwriting for analysis
• Process SBA 7(a) loans from credit approval through closing and disbursement with strict adherence to SBA SOP’s
• Determine/Verify SBA Eligibility on loan requests
• Determine post underwriting requirements needed for SBA submission
• Prepare SBA Application forms and SBA Authorization
• Issue package and initial closing checklists to field representative or client
• Review package for completeness, collect needed documentation and submit for approval/authorization
• Satisfy all requirements of the authorization including documentation of equity injection, due diligence, lease agreements, life insurance etc.
• Order required due diligence
• Ensure applications are processed and closed/funded according to SBA SOP lending guidelines
• Process/Pipeline Management Liaison with Field
• Uses checklists and tools to review and determine requirements based on product type
• Work with Closing Attorney to do any necessary work around title search findings, UCC search findings or other issues related to perfecting liens in collateral
• Order Appraisals – commercial or residential
• Order Environmental Reports
• Order Flood Certification
• Review Operating Agreements/Formation Documents
• Reviews items to ensure loan documents are accurate and the Bank’s lien is properly perfected.
• Provides timely feedback to SBA Product Specialists regarding missed or needed information.
• Ensures all due diligence information is properly documented and imaged into the appropriate application image file folders
• Establishes and maintains an effective follow up methodology to complete all searches in a timely manner and to support achievement of the department's Service Level Agreement (SLA) goals and individual turn time goals.
• Allocates effort to assigned deals as appropriate to insure expended effort is consistent with deal complexity and difficulty.
• Promptly and accurately determines when all underwriting approval conditions for loan closing have been satisfied. Takes appropriate remedial actions to resolve deficient documents and escalate questions/disputes to appropriate Team Leader when necessary.
• Ensures all documents support the credit request that has been outlined and approved.
• Review legal documentation and commercial due diligence items to determine appropriateness based on the existing Credit Approval Documents
• Performs reviews of team’s work prior to closing to ensure all requirements have been met.
• Assists Loan Process Manager with projects as needed and performs backup responsibilities when assigned.
Note: This position can be located in Nashville, TN or Charlotte, NC.
Requirements
Education and/or Work Experience Requirements
• Bachelor’s degree or equivalent work experience
• At least 5 of US Small Business Administration 7a Lending Program documentation experience
• At least 10 years of commercial loan and/or SBA program experience
Abilities/Knowledge/Skills/Training/Systems
• Ability to coach and mentor team members
• Ability to determine closing requirements including pre-closing document review (including legal documents, contracts, leases, purchase orders, etc.)
• Ability to identify documentation and due diligence issues
• Ability to assure proper receipt and execution of documents
• Ability to identify and escalate variances (as appropriate)
• Ability to offer appropriate resolutions to mitigate risk
• Ability to think independently and as team player
• Ability to meet deadlines under pressure
• Current extensive SBA SOP (50-10-5 and 50- 57) knowledge
• Comprehensive knowledge of commercial loan documentation and processing
• Demonstrates an understanding of applicable bank policies and procedures as they pertain to the satisfaction of loan closing conditions as well as vendor documents and services
• Knowledge of most common vendor documents – title work, appraisals, flood determinations, lien searches.
• Good interpersonal skills and team orientation
• Strong/effective verbal and written communication skills
• Self-starter and works with minimal direction
• Good personal computer skills with demonstrated knowledge of Microsoft EXCEL, WORD, Outlook
• Strong time management and organizational skills evidenced in previous assignments.
• Demonstrated above average problem solving skills, excellent verbal and written communication skills, and ability to handle and prioritize multiple tasks.
• Preferred: Thorough knowledge of ALS, LaserPro and other First Tennessee Bank internal banking systems to include SBA Loan Packaging Software.
