What does a great (insert position title) do?
We are seeking a highly skilled and efficient Executive Assistant to support the Vice President of Human Resources. The ideal candidate is one who is willing to take initiative, exercise judgment and discretion, proactive in a fast-paced environment, and has the ability to communicate effectively with executives. Key responsibilities include meeting planning, extensive calendar management, travel arrangements and complex itineraries under time constraints with the ability to maintain a confident and service oriented demeanor. Strong attention to detail is essential.
Basic Qualifications for Consideration:
• Maximize the VP of HR’s efficiency through effective meeting/conference call scheduling, planning and management
• Schedule appointments, meetings, marketing presentations, conferences, and various company events, and make arrangements for all needed facilities, equipment, food and/or refreshments.
• Synthesis & create presentations, communications, etc. on behalf of leader
• Arrange travel schedules and cost effective reservations, including accurate and timely preparation of expense reports
• Receive and screen executive phone calls, assuring prompt response to client needs and information requests
• Prompt communication of telephone messages and information to facilitate timely response to clients’ needs
• Review and route incoming mail; prepare outgoing mail; copy and distribute correspondence or other printed matter
• Process and assist with onboarding of new hires; manage the purchasing of computer equipment, phones, supplies, etc.
• Act as liaison between executives and other business unit leaders requiring high level of professionalism and ability to communicate effectively at the executive level
• Accurate and timely compilation of information and report preparation for prompt distribution of necessary information
• Complete follow through on all necessary arrangements to ensure the smooth flow of events at client meetings/functions
Preferred Skills, Experience, and Education:

• Education: Bachelor’s degree or equivalent experience required
• Experience: 7+ years’ of relevant experience required; executive administrative experience with a Fortune 500 company supporting senior leaders preferred
• Additional Skills –
◦ Confidentiality: Must demonstrate a keen sense of awareness and a high degree of confidentiality
• Communication: Strong communication skills required with the ability to effectively interact with a variety of stakeholders including executives, clients, prospects and other level leaders in a highly professional manner
• Professionalism: Demonstrate professionalism and courtesy at all times, especially when dealing with clients and executives
• Customer Orientation: Concern for maintaining a high level of customer satisfaction
• Responsive & Detail Orientation: Demonstrate dependability, sense of urgency and high attention to detail along with a superior ability to multi-task
• Agile: Highly flexible and adaptable
• Technical Skills: Proficient in Microsoft Outlook, Word, PowerPoint, Excel; experience with Concur and Workday preferred
