JOB SUMMARY
The Assistant Vice President, Document Services will manage document tracking and preparation working with both onshore and offshore resources. The AVP of Document Services will manage and direct the activities of the Document Administration Department. This role is held accountable for the development of management and staff, continuous process improvement, fiscal control and effective capacity management.
Scope/Responsibilities:Operational oversight for single or multiple defined functions within a sub-segment of a business channel or corporate staff function. Provides thought leadership and planning for areas of responsibility. Assists in developing budget for assigned area. Direct Report to SVP or VP. Manages Manager and/or below Manager level resources. Responsible for medium and/or short term business entity planning and/or operational direction. Decisions have a moderate impact on assigned business area.
ESSENTIAL JOB FUNCTIONS
• Responsible for managing the intake and tracking of mortgage documents.
• Manage the file storage, retention and destruction process in compliance with investor, product and state requirements.
• Leads special projects within the servicing area to ensure the timely and accurate results of the project while meeting the timeframes established.
• Manage the Vendor Management oversight of the offshore project.
• Manage the reconciliation of documents relating to loan acquisitions
• Develop and communicate department and individual goals, policies and strategies.
• Monitor tracking and performance monitoring mechanisms, as necessary, to keep management team apprised of operational activities.
• Responsible for ensuring staff managers prepare the monthly reporting and projections.
• Conducts/Assists with interviewing candidates for open positions as needed.
• Ensures team complies with bank procedures and follows privacy policy, OCC regulatory policies, and RESPA.
KNOWLEDGE, SKILLS, ABILITIES
• Graduation from a 4-year college or university with major course work in a quantitative discipline (economics, mathematics, engineering, etc.) Will consider the equivalent combination of job experience & education that demonstrates the ability to perform the essential functions of this job. Typically 10+ years of experience preferred.
