Summary:
The Operations Assistant is responsible for general office operations support and functions related to client services. Excellence in service is core to this position in supporting internal and external customers.
Essential Functions:
• Responsible for reception area and main company phone line. Greets and communicates in a manner consistent with caring and respect and follows established policies for confidentiality.
• Ensures MPIE facilities are always professional in appearance, organized, clean and well-kept.
• Supports various facility related items such as: parking, building access and rental property assistance.
• Assist in all company mail and mailings and maintain phone lists.
• Coordinates scheduling for multiple departments and conference rooms.
• Stocking including: kitchen, board room, copy room and office supplies, marketing supplies, merchandise, executive office.
• Typing, copying, faxes and proof reading.
• Customer Service - supports internal and external customers to ensure they obtain the support/service they request/need and contributing to highly satisfied customers/stakeholders/staff.
• Assist with scheduling and planning company events and staff activities.
• Processes payments/claims invoices.
• Assists with uploading PL correspondence.
• Completes verification process in support of UW functions.
• Maintains log of charity related events, coordinates staff attendance within budget.
• Coordinates company gifts and celebrations including birthdays and life events.
• Assist with staff/consultant travel.
• Supports supervisor with project management related functions.
• Performs other duties as assigned and supports all departments in general operations.
Minimum Skills Requirement:
• Excellent organizational and general office services
• Maintains accountability for completion of assigned tasks and service improvements in a timely manner, is punctual and dependable.
• Perform at intermediate to advanced level in ALL Microsoft Office Suite products: including Outlook, Excel, PowerPoint or other database software and excellent navigation skills on Internet Explorer.
• Ability to quickly learn new computer software applications
• Demonstrated ability to multi-task using multiple computer systems and applications open on the desktop while retrieving information from one to complete fields in another.
• Detail oriented with good organizational and follow-up skills.
• Must be a team player and have proven success applying a team approach to obtain resolution to an issue or successfully accomplish a goal.
• Demonstrated time management and organizational skills, self-directed and able to prioritize.
• Highly proficient typing (accuracy and speed) and data entry skills. 60 WPM
• Strong verbal and written communication skills.
Qualifications:
• Associates Degree in business or equivalent education and experience
• Five years’ administrative assistant, service excellence, customer service, insurance experience preferred
Position Shift Coverage and Overtime:
This position is non-exempt. Qualified candidates must have the ability and flexibility to work over as needed with general office hours and coverage between 8:00 a.m. -5:00 p.m.
