Description
The Sr. Administrative Assistant provides a variety of clerical & administrative support which may include drafting & typing letters/documents using Microsoft Word & Excel &/or presentation software; screening calls & visitors; preparing agendas & making arrangements including travel, etc. for meetings & special events; &/or managing supervisor's &/or dept. calendar. May perform basic project management work. Performs other duties as assigned.
Primary Job Accountabilities/Responsibilities:
• Prepares & types letters, memos, emails, correspondence, etc.
• Proofs for spelling & grammar.
• Enters information into spreadsheets &/or databases
• Compiles routine reports, statistics, tables, charts, etc. from readily available information.
• Resolves discrepancies & over/under budget problems, etc.
• Process expenses including travel reimbursement, invoice payments, etc.
• Coordinates calendar - supervisor's &/or dept.
• Coordinates travel arrangements.
• Coordinates events which may include scheduling rooms &/or guest speaker & arranging for routine materials, technology & refreshments.
• Provides information via phone, e-mail, mail, etc.
• Represents manager in routine/standard situations with various levels of personnel both internally & externally.
• Ideally supports VP level
• Primary support for VP and department staff or multiple VP's
Qualifications
Basic Qualifications Required - Experience, Skills, and Knowledge:
• GED or HS diploma
• 2 years administrative support or other relevant experience required.
Other experience:
• Experience in managing group activities and tasks; must demonstrate initiative, leadership, and confidence
• Excellent customer service focus
• Outstanding interpersonal and communication skills
• Ability to improve standardized best practices and service deliveries to accomplish company, group, customer and/or individual goals
• Ability to meet new challenges with an open mind and an optimistic response
• Ability to effectively manage/coordinate simultaneous projects, and successfully prioritize multiple tasks with sound judgment
• Ability to protect confidential and proprietary information of the company
• Unwavering attention and adherence to the company's values and principles
• Advanced skills in PowerPoint, Word and Excel
