Summary
The Administrative Assistant role provides administrative support to a Director. The purpose of this position is to be a trusted, reliable resource that supports the Director by handling the details of the day to day business.

Responsibilities:
• Schedules meetings, small events and manages calendars:
◦ Work closely with Director to ensure meetings adhere to the model week.
◦ Coordinate logistics for meetings and small group social events.
◦ Works with Director to prepare any materials needed for meetings.
◦ Proactively looks ahead on calendars to prepare the Director for upcoming key meetings or events.
• Handles e-mails: may include emailing on behalf of Director, organizing email inbox according to Director’s needs.
• Reporting:
◦ Prepare weekly and monthly recognition reports for Director and their market groups.
◦ Prepares expense reports for directors.
• Helps track budget for directors to ensure spend is in budget. Coordinates events that are within budget allowable.
• Assists director in reaching goals which may include calling centers of influence to schedule appointments, conduct phone screens of potential financial professional (FP) candidates, working with FPs to schedule joint field work appointments.
• Supports Director’s lateral work which may include capturing meeting notes creating meeting agendas for ongoing meetings.
• Assists in the regional office to ensure office runs smoothly; serves as a back-up to the receptionist as needed.
• Other support as requested by Director and other field leaders.
Qualifications
• 3+ years of administrative/secretarial experience required; two year vocational/business school degree desired.
• Great organizational skills, attention to detail, ability to juggle different tasks and understand how to prioritize.
• Must be able to think proactively and anticipate needs of field leaders in order to help them be more efficient and succeed.
• Must be proficient in Microsoft Office Outlook (emails and calendar) and Microsoft tools (Word, Excel).
