Summary:
A successful candidate will oversee the Chicago, Dallas, and Washington D.C. facilities including coordination of program space, management of maintenance and construction work, communications with the landlord, maintain standards for office appearance, manage security access and emergency plans, ensure office equipment is functioning correctly, and manage interoffice moves. This role will manage a team of 6-7 people.
Primary Duties and Responsibilities:
• Manage the mail room activities including incoming & outgoing mail, office supplies, and messenger services.
• Manage the reception area and catering functions ensuring a professional image and high level of service.
• Supervision, coaching & development of Facilities Management staff to ensure a customer service culture and high performing team.
• Coordinate and interact with landlord and contractors working in the office space.
• Develop and maintain routine repairs and programmed maintenance for office space and equipment.
• Manage and administer physical security of the space including issuance and cancelation of badge access.
• Establish, implement and enforce quality control standards and conduct regular and necessary inspections.
• Develop in coordination with Security Services and administer emergency response plans including procedures and standards and documentation of available resources.
• Draft, update and maintain Facilities Management policies and procedures.
• Partner with all departments to forecast long and short-term workspace needs and manage corresponding space assignment and moves.
• Coordinate real estate leases with Corporate Finance leadership and Legal
• Coordinate construction projects with internal users, OCC technology, architects, contractors, and other project team members.
Supervisory Responsibilities:
• ·Supervises a team of up to seven staff.
Qualifications:
• Ten plus years’ experience working within a Facilities management services team.
• Previous supervisory experience.
• Familiarity with management of space in leased multi-tenant building.
• Excellent organizational skills and attention to detail.
• Experiences with office remodeling and office moves.
• Awareness of OSHA requirements.
• Ability to work independently.
• Strong verbal and written communication skills.
• Build relationships both internally and externally
• Experience with bid package and analysis
• Experience with real estate lease reviews and execution
Technical Skills:
• Strong computer skills, proficient in Microsoft Office
• Ability to use C-Cure or like security system for monitoring and control of employee credentials.
Education and/or Experience:
• Bachelor’s Degree
Certificates or Licenses:
• Facilities Management Certification
