The Role
As the Enrollment Scheduler, you will perform and deliver on routine and non-routine assignments independently to support Lincolns certified Benefit Counselors (BCs). S/he will fulfill field office BC Requests, schedule BCs for enrollments, track & report case data, confirm appropriate licensing, track BC time reporting, and approve BC expenses, according to established departmental guidelines.
Responsibilities
• Acts as main contact for BC as it pertains to their administration duties
• Advises BCs to ensure timely and accurate time and expense reporting; tracks & approves expenses, assists BCs with expense report issues, and maintains expense report files
• Advises Case Managers, field offices, and National Accounts on questions and concerns relating to BC requests and guidelines.
• Assigns and confirms 90% of BC Requests within a 48 business hours; and the remaining 10% within 72 hours.
• Based on internal/external feedback and previous enrollment performance, recommends BCs to place on hold to reserve their time for Lincoln
• Communicates enroller shortages to Enrollment Services management.
• Confirms BC bonus eligibility, submits requests for bonus payments to management, and reviews Finance reports to confirm payouts are made appropriately
• Confirms BCs are properly licensed in states as required by licensing guidelines. Advises Licensing unit on all new and renewed licenses. Follows up new appointments and licenses for BCs.
• Continually improves and revises the BC Request Form and other spreadsheets/logs as needed.
• Ensures schedule and debrief information are tracked accurately
• Fulfills field office BC Requests according to established guidelines; requests exceptions as needed
• Maintains accurate and up-to-date profiles and personnel information for all active BCs.
• Maintains various logs, including Weekly Enrollment log, Benefit Counselor Feedback log, Benefit Counselor Attrition log, and others as needed.
• Pairs new BCs with mentors for job-shadow opportunities.
• Partners with Case Managers on BC ratings in order to improve results of enrollment meetings.
• Partners with the Enrollment Services Case Managers, National Accounts, and field offices to obtain any missing information from BC requests to ensure optimum scheduling, satisfactory results, and delivery within established deadlines at an appropriate cos
• Provides support during non-standard hours, as needed
• Reviews timesheets for W2 Benefit Counselors, liaises with Payroll regarding BC questions/concerns.
• Submits invoices for assigned training session expenses not directly charged.
• Tracks continuing education hours while requesting formal receipt of completion (certificate).
Education & Experience
• 2 - 3 Years of enrollment and/or scheduling experience directly related to the specific responsibilities for this role. (Required)
• High School or GED (Minimum Required)
