Job Summary
Engagement Billing Specialist - Senior Associate
This position provides client engagement billing support to Partners in the Risk Business Unit, and requires extensive billing, communication, organizational and technical skills. The position also requires expertise in financial data, analysis, reporting and a high level of focus on quality, accuracy and confidentiality with the ability to continuously prioritize and manage complex and multi-faceted national and international client engagement billings.
Position Summary:
Engagement Billing
• Manage engagement billing process by preparing monthly pre-bills, data analysis, receipt reconciliation, spreadsheets and invoices accurately and in a timely manner.
• Work with engagement manager and partner to track overall engagement economics, including budget status tracking, realization, billing and collection follow-up.
• Support A/R and WIP management and monitor billing adjustments and updates.
Analysis and Reporting
• Monitor invoices for accuracy, and billing in accordance with contract terms, resolving billing issues and ensures timely invoicing.
• Prepare and distribute various communications and types of business reports, including performing data analysis and reconciliation as well as summarizing trends and providing recommendations.
• Create Excel spreadsheets incorporating look-up and pivot tables, subtotals and sorts and financial and logical functions.
• Utilize tracking systems to ensure all time and materials are recorded, project work is prepared and tracked, and project instructions and client interactions are fully documented.
Business Knowledge and Awareness
• Understand Risk business solutions and how they link back to the overall billing strategy.
• Demonstrate knowledge of business analysis and planning.
• Apply appropriate business process knowledge in support to engagement billing activities.
• Use extensive knowledge of internal business practices and priorities to proactively respond to daily issues and requests as authorized, keeping them apprised of critical issues.
• Evaluate and encourage process improvement to provide billing effectiveness and enhance service delivery.
• Analyze, initiate and implement best practices and procedures.
Administrative
• Develop, edit and format letters, spreadsheets and .pdf files using Adobe Professional.
• Research and document information using Internet search engines and research sites.
• Assist with planning of client or internal meetings, webcasts or conference calls, including scheduling and communication, maintaining information and preparing and distributing materials.
• Assist with SharePoint site content management and administration.
Qualifications
Required Qualifications:
• Five years or greater client engagement billing, WIP and AR management experience supporting partners and directors in a professional services and/or consulting firm environment is required.
• Bachelor degree preferred in finance or business administration related field or five years or greater of engagement billing experience.
• Experience with international billing and using tax software licensing for invoices is highly preferred.
• Familiar with using billing systems and with financial terminology and impact of financial transactions.
• Advanced skills in Microsoft Word, Excel, Adobe Professional and Outlook are required. Expertise working with web based procurement sites such as Ariba, Coupa and Fieldglass as well as knowledge using Concur booking tool are highly preferred.
• User expertise of office technology and equipment such as videoconferencing, Skype for Business, WebEx, MFD’s and LCD projectors.
• Professional presence and exceptional client service skills, exercising a high level of confidentiality in all work products and communications.
• Knowledge of business and priorities to proactively respond to daily issues and requests as authorized, keeping stakeholders apprised of critical issues.
• Highly effective communication skills along with proofing, grammar and quality assurance in accuracy of all billing work and reporting.
• Strong critical thinking, problem solving, time management, analytical and reporting skills.
• Ability to build strong working relationships at all levels, internal and/or external to the organization.
• Demonstrate openness to new challenges, opportunities and continuous learning with flexibility and easily able to adapt to changes.
• Strategic awareness and business acumen skills.
• Effective engagement billing planning and negotiation skills with a high energy level and ability to balance and prioritize while leveraging others in order to complete daily responsibilities and projects.
• Ability to understand and strictly adhere to the quality standards and procedures established by Crowe, including brand standards and guidelines.
• Ability to guide or assist clients on use of software, tools and processes, including leveraging technology to solve business problems.
Other Requirements
• Able to work flexible hours and schedule based upon engagement billing cycle.
• Ability to work overtime as needed based on year-end billing cycles and peak business periods from November – December and February - March.
• Estimate an annual average of up to 5% overtime.
• Reliable and dependable with an excellent attendance and punctuality record.
