Responsibilities
• Work closely with the Facilities Manger to support facilities activities in the Portsmouth office.
• Act as first point of contact for internal and external customers seeking support and information from the Facilities department.
• Manage training rooms, initiate work orders for the facility on behalf of employees & subtenants and maintain office records.
• Prepare invoices for payment, monitor and track expenses for budgeting purposes, and resolve billing discrepancies.
• Provide billing information to Real Estate Department in a timely manner.
• Perform daily walkthrough of entire office; address any outstanding issues by coordinating with vendors, local resources and Corporate Facilities team.
• Coordinate and manage employee moves, update floor plans and corresponding documentation on a weekly basis.
• Assist with on-boarding new vendors and updating existing vendor requirements through Vendor Management.
• Under the supervision of the Facilities Manager, manage outside contractors in support of the Facilities Department, including maintaining records and contracts, coordinating project activities, and providing scheduling support.
• Assist the Facilities Manager in all aspects of project implementation as needed.
• Represent the Facilities Department in inter-departmental meetings to support and facilitate communication and action between departments.
• Oversee contracted personnel to ensure all tasks are completed in a timely manner.
• Provide departmental administrative support to local Facilities team and the Facilities organization and other facilities related responsibilities as assigned.
Qualifications
• Associate’s degree is preferred, or 3-5 years relevant experience in corporate facilities or property management role.
• Strong organizational, problem solving and multi-tasking skills, the ability to work well in a fast-paced environment, proficiency in basic computer skills and use of Microsoft Office.
• Understanding of floorplans and space management, superior communication skills and customer service.
• Individual must demonstrate a strong work ethic, ability to comfortably communicate with executive staff, flexibility and resilience.
• Experience managing vendors is preferred.
