Description
Position Summary
The Administrative Assistant provides administrative support to FIMCO’s Investment Compliance Department, under the guidance of the Chief Compliance Officer and Investment Compliance Manager.
Responsibilities
• Assist with communications with Board members and organization of Board meetings
• Coordinate entry of Board documents into electronic Board portal
• Draft and/or transcribe correspondence, proofread and edit documents and memoranda
• Maintain tracking spreadsheets regarding associates’ securities accounts
• Receive and screen incoming telephone calls
• Receive and distribute departmental mail
• Print / Photocopy / Document assembly and filing
• Maintain department’s paper and electronic filing systems
• Distribute departmental reports to management
• Perform other related duties as assigned
• Manage confidential information with an appropriate degree of sensitivity and discretion
Educational Requirements
• High School diploma
• College degree or equivalent work experience preferred
Experience and Background Requirements
• 5 years of related business experience preferred
• Accurate and fluent keyboarding skills
• Proficiency in MS Word and Excel
• Knowledge of PowerPoint a plus
• Excellent written and verbal communication skills
• Ability to work independently with minimal supervision
• Ability to maintain confidentiality of sensitive information
• Detail oriented
• Ability to work overtime as necessary
