Job Description
Position Description
The Administrative Assistant will maintain Executive calendars, schedule travel, create expense reports, and prepare documents (MS Word, Excel, and PowerPoint) for assigned executive(s). The individual will work under minimal supervision and will exercise an appropriate level of initiative and judgment.
Job Responsibilities
• Coordinate calendars for assigned executive(s).
• Prepare and proof correspondence, reports and other written material and prioritize work assigned to meet individual goals of the executive(s).
• Coordinate travel arrangements for executive(s) and other personnel, as required.
• Schedule various in-house and external meetings (including luncheon meetings), as required.
• Produce expense reports for department.
• Process departmental invoices for payment.
• Assist in the on-boarding process for newly hired staff.
• Assist with special projects, reports and activities.
• Miscellaneous duties, as assigned.
Qualifications
• Previous administrative or related experience required.
• Experience supporting multiple executives and appropriately manage competing priorities
• Experience working with other administrative personnel to deliver an environment of teamwork and flexibility
• Special skills/abilities/competencies required: MS Word, Excel, PowerPoint, MS Access preferred; strong communication skills.
• Customer service skills; detail-oriented; able to work independently; initiative; interpersonal skills; able to multi-task.
• Organizational skills; problem solving skills; results oriented; team player; time management skills.
• Works with a sense of urgency.
• Ability to handle confidential information.
• Willingness to work flexible hours and days when needed.
