ESSENTIAL DUTIES AND RESPONSIBILITIES
Roadshow Coordinator
• Responsible for administrative aspects of Corporate Roadshows.
• Heavy logistic coordination, including, but not limited to, meeting space, hotels, ground transportation, private air, commercial air and conference/private events, meals catering, etc. Ability to apply judgment with respect to schedule flow and required changes.
• Soft meeting coordination; work in conjunction with corporate clients, Equity Capital Markets, Institutional Sales teams and Investment Banking.
• Manage roadshow schedule once it is underway and work closely with all parties involved.
• Create and maintain roadshow budget, manage and reconcile expenses.
• Ability to effectively and extensively interact with all levels of Capital Markets professionals, from analyst to Managing Directors.
• Heavy contact with corporate management teams; must be able to balance a client’s demands against the greater good; must be professional, responsive and polite in extremely difficult circumstances.
• Candidate will be expected to adapt to a changing environment and respond accordingly.
Administrative Support
• Answer telephone and direct calls appropriately or provide answers to question or requests, some of which may be complex in nature.
• Process correspondence, reports, documents, schedules, etc., from transcriptions, drafts, various forms and memos sometimes containing complex financial data and assure timely distribution, as required.
• Accumulate financial information on various external organizations of departmental interest by utilizing internal and external sources of information and expertise as necessary.
• Establish, organize and maintain departmental files, both routine and confidential, and control access.
• Create and maintain computerized databases on various topics such as client lists, project lists, etc. as appropriate to departmental functions.
• Maintain client related expenses, prepare documentation for billing of clients, receives remittances from clients and assist in proper crediting of their accounts.
• Perform research on companies, stocks, selected topics, etc. utilizing internal and external information sources and expertise.
• Periodically prepare documents used in client presentations, coordinate printing and distribution of material.
• Perform miscellaneous functions such as make travel arrangements, arrange meetings and luncheons, prepare expense reports, process mail, make copies, order supplies, etc.
• Assist Analysts and Associates with civic and personal administrative duties, as required.
• Performs other tasks as assigned by management.
EDUCATION AND/OR EXPERIENCE
Bachelor’s Degree required or the equivalent combination of education and experience. Minimum of 1-2 years of roadshow and/or deal roadshow experience including heavy administrative support and/or travel coordination required. Event coordination experience also a plus. Prior experience working within an investment banking syndicate/trading desk is preferred.
SOFTWARE SKILLS REQUIRED
Advanced working knowledge of Microsoft Word, Excel and PowerPoint and basic Adobe required. Experience managing schedules using a web-based scheduling/event management tool – IPREO suite of products preferred.
