Job Description Summary:
The Abbey Resort Reservation Agents are responsible for fulfilling reservation requests based on room availability and customer preferences, handling correspondence, sending confirmation emails, verifying customer information, collecting payments, promoting hotel facilities and answering to customer inquiries. The reservation agent will have very good communication skills, attention to details, accuracy, customer service orientation, and computer literacy.
Job Description:
REPORTS TO: Reservations Manager/Revenue Manager
REQUIRED TRAINING/EDUCATION/EXPERIENCE:
• High school diploma/equivalence preferred
• 6 months customer service experience preferred
MINIMUM QUALIFICATIONS:
• Clear, pleasant and intelligible telephone voice
• Command of the English language
• Excellent hearing
• Able to sit for 8-hour shift
• Typing speed of 40 wpm while on phone
• Good vision, either natural or with corrective lenses to see computer screens
• Able to exercise a high degree of human relations and tact when dealing with future hotel guests

RESPONSIBILITIES/DUTIES:
Possesses knowledge of the hotel layout, facilities, and special services offered. Answers all phone calls promptly and treats the callers with courtesy and respect. Secures all required information to ensure that the clients will have a reservation suited to their specifications and a pleasant stay. Possesses knowledge, at all times, of the various rates and package plans. Enters and codes reservations in order to process all reservation transmissions, changes, cancellations, and travel agent information. Understands the hotel policy on guaranteed, no show, 4:00 pm reservations, and overbooking. Possesses knowledge of the procedures for entering, blocking, forecasting, filing, and canceling group bookings. Possesses knowledge of the different reports that are useful to the reservations department. Applies advance deposits for future reservations. Prepares weekend package materials. Directs guest complaints or problems to the proper department head. Ensures work area is kept clean and orderly. Performs related duties as requested and assigned by the Reservations Manager, Resident Manager, or General Manager to include pre-blocking "special request" rooms.
