We are searching for a skilled Administrative Assistant to join our Portland office. The Administrative Assistant performs a variety of administrative tasks and is responsible for providing support to their assigned partners, the tax department, and the office when needed.
Responsibilities:
• Serves as a point of contact for internal and external clients including: screening phone calls, ensuring client messages are communicated to the appropriate client service staff, and following up with clients, when appropriate
• Schedules appointments using Outlook
• Assists with drafting, editing and proofreading various correspondence, such as letters, proposals, and presentations
• Screens, prioritizes, and distributes mail
• Proactively manages calendars, travel, and logistics for assigned Partners
• Assists with time and expense reports
• Tracks monthly billing deadlines and assists with the billing process
• Collects information and completes New Client Acceptance forms and obtains approvals
• Assists with support of marketing activities, such as event set up, presentation materials and maintaining data in the Customer Relationship Management system
• Assists with coordination of continuing professional education (CPE) meetings, training, and events
• Reviews tax correspondence for accuracy; assists with uploading information to the client portal
Qualifications:
• High School Diploma/GED required; College coursework/degree preferred
• A minimum of 3 years of experience in an administrative role is required
• Experience in a professional services firm preferred
• Strong attention to detail and accuracy
• Strong interpersonal skills with a focus on client service
• Capability to work in a fast paced environment and under pressure
• Intermediate skills with Microsoft Office
• Excellent written and verbal communication skills
• Flexibility with schedule and overtime to meet deadlines
• Strong organizational skills
• Ability to maintain confidentiality, handle sensitive material and display professionalism
