Role Value Proposition:
This full-time position is responsible for providing administrative support to the Senior Vice President and staff. This position requires attention to detail, flexibility and the ability to prioritize workload and multi-task in an environment that requires frequent change. This individual must be able to work independently with minimal supervision and demonstrate excellent interpersonal and communication skills, both verbal and written. The individual is expected to maintain confidentiality and exhibit a high level of discretion and professionalism.
Key Responsibilities:
• Manage schedules and coordinate meetings for multiple individual team members, as well as the overall team; Coordinate multiple internal and external meetings involving senior leaders in the company and external resources/partners
• Manage travel arrangements and prepare expense reports involving currency conversion; Manage all office processes, including filing, cataloging business contacts, maintaining attendance records, etc.
• Manage processing payments of departmental invoices; Organize, prioritize, and direct general incoming and outgoing information, requests, and queries (by email, fax, phone, and mail)
• Provide telephone support, with the ability to direct calls to appropriate resources; Troubleshoot IT-related issues with Helpdesk and other internal resources; Organize electronic and soft copy documents and communication that may require confidential treatment
• Provide clear verbal and written communications; Assist with production and coordination of meeting briefs, presentations, updates, and reports that may require confidential treatment; Manage day-to-day miscellaneous activities; Assist with the general operations of the office
Essential Business Experience and Technical Skills:
Required:
• 4+ years of experience
• Ability to work in fast paced environment
• Strong PC skills, including proficiency in Microsoft Office Suite: Outlook, PowerPoint, Word, Excel, and SharePoint, and internet skills
Preferred:
• Bachelor’s Degree
• Insurance and Financial Services experience.
• Excellent organizational and time management skills
• Excellent written and verbal communication skills
• Must be able to multi-task with a keen eye to detail and handle heavy flow of incoming and outgoing requests for meetings or information
• Self-starter; ability to independently anticipate needs, look ahead, plan for contingencies, manage concurrent tasks, prioritize tasks and follow-up
• Ability to recognize opportunities to improve and stream-line processes
• Superb inter-personal skills, demonstrating an ease with interacting professionally – at senior levels - within and across functional teams
• Flexibility to move between competing priorities as needed/directed; Calendar/schedule management
• Discretion in handling confidential materials/information
