The Office Services Coordinator Senior in the Washington, DC office helps accomplish this mission by facilitating daily operation of the site. As the main point of contact for associates representing various business units such as Government Relations, the Investment Group, North America Distribution, Global Service Delivery, and the Fund Boards, this associates serves as a reliable source of factual information related to Office Services and company guidelines, processes, practices, and procedures.
Specific responsibilities for this role include:
• Provides and ensures daily operational service or assistance to the site, and acts as a subject matter expert (SME) on operational issues such as facilities, safety, security, ergonomics, food service, etc.
• Directs and manages vendor relationships including providing leadership in negotiating contracts and ensuring agreed service levels are met.
• Acts as the primary contact for and develops and maintains effective professional relationships with key internal and/or external customers, business units, colleagues and visitors within the local site and cross-site.
• Proactively identifies, analyzes, and resolves business issues with minimal input and direction from manager. Manages site budget.
• Prepares for and facilitates the office relocation scheduled for Q3 2019.
Qualifications:
• Minimum 5 years’ experience in property/facilities management or operations
• Bachelor's degree strongly desired
• Demonstrates ability to coordinate work among external third parties as well as internal functions.
• Demonstrates initiative by identifying issues and recommending solutions as well as sound judgment in resolving complex matters.
• Demonstrates effective written and oral communication skills with team members, managers and external parties.
• Demonstrates ability to collaborate, develop/maintain working relationships inside and outside the organization, and build appropriate rapport to enable effective completion of business objectives.
• Demonstrates high proficiency of Microsoft Office and other relevant software and applies it to work assignments
