Description
Prudential's Law, Compliance, Business Ethics and External Affairs Department (LCBE) seeks a skilled and highly motivated individual for the role of Executive Assistant. This position provides administrative support to corporate attorneys within the Financial Management Law Group of the Law Department.
Responsibilities include, but are not limited to:
• Answer and screen telephone calls. Proactively assist callers should principal be away. Be willing to track down principal if necessary.
• Handle revisions to legal and other documents, primarily in Microsoft Word, as directed by principals.
• Coordinate meetings and conference calls, including preparation of agendas, attendee lists and circulation of call-in numbers.
• Manage principal's electronic mail and calendaring as directed. Respond to notes regarding availability.
• Assist principals in executing financial management transactions and financial reporting process.
• Manage a filing system for various legal documents, correspondence, etc.
• Proactively follow up to ensure completion of tasks, projects and deliverables.
• Provide back-up support and coverage for other professionals throughout LCBE.
• Prepare and manage expense vouchers for both travel and general expenses; report any gift and entertainment activity into the GETS system.
• Process legal invoices via LCBE electronic system or paper.
• Coordinate travel arrangements and preparing itineraries.
• Perform other administrative duties as assigned (e.g. supplies, business continuation, record retention, special projects, etc.).
Qualifications
Job Requirements
• 5 plus years administrative experience, preferably supporting senior level executives
• Attention to detail, particularly when dealing with documents
• Proficiency in the use of Microsoft Office (Word, Excel, PowerPoint)
• Excellent verbal and interpersonal skills
• Ability to work independently and able to prioritize work
• A positive attitude and energetic personality
• Ease in adapting to changing priorities
• Ability to juggle multiple assignments
• Understanding of Prudential's business and operations is a plus
