We are seeking an exceptional Office Manager for our Grand Rapids, MI office.
How You’ll Make an Impact:
• Monitoring billing, collections, timekeeping and expense activities
• Leading all office administrative functions, including: tax processing, word processing, report generation and tracking of office metrics
• Promoting the sharing of office and administrative best practices and standards
• Providing for the physical needs of the office
• Managing relationships between office and building service providers; negotiating contracts and ensuring services are provided as required
• Overseeing maintenance of proper inventory of office supplies and resources
• Ensuring that office appearance is maintained at a high level
• Providing liaison between local office associates and corporate departments (IT, HR, Marketing, Operations, Finance)
• Ensuring that all Rehmann associates are kept aware of Firm news as well as changes in policies and procedures
• Facilitating new hire orientation and termination procedures
• Facilitating meetings and training programs for office staff
• Supervising / directing office administrative staff
• Coordinating and facilitating process for hiring administrative staff; making recommendations on hiring and termination
• Ensuring staff workload is balanced; assigns work as needed and ensures backup is provided as appropriate
• Resolving disputes involving administrative staff
• Ensuring new associates are fully trained in office procedures and practices
• Providing high-level administrative assistance to office executives
• Exhibiting unwavering integrity at all times
• Identifying opportunities to improve existing processes
Your Desired Skills & Experiences:
• Completion of an Associate's or Bachelor’s degree program
• Experience in leading work processes and procedures in a professional office environment
• Excellent written and verbal communication skills
• Ability to communicate with senior leadership with confidence
• Experience supervising and coaching administrative professionals
• Ability to multi-task in a fast-paced, deadline-driven environment
• Advanced knowledge of Microsoft Office
• Knowledge of Human Resources, Marketing, IT and Financial processes
• Efficient in problem resolution
• Ability to quickly learn and master new software programs
• Ability to foster a collaborative, team environment
• Ability to handle communications in a discrete and confidential manner
• A new perspective and new ideas allowing us to continuously improve
