JLL is currently seeking a Facilities Manager - Small Projects to join our team supporting a premier financial client. This is a virtual role which needs to be based in the Northeast with NYC Metro or Buffalo, NY as the preferred locations.
ROLES AND RESPONSIBILITIES
OVERALL ROLE
• The role will focus on ensuring that each small project activity is delivered at its best possible level of cost and operating efficiency and reliability while insuring quality service and performance levels.
• Work as part of the Small Projects Project Team, assisting with and managing the development of scope, schedule and budget for banking related project work.
• Demonstrate a proactive focus on meeting client and project requirements in a timely and cost-effective manner.
• Complete project assignments with emphasis on quality of services and attention to timely response to client/customer needs.
• Provide superior client/customer service.
• Meet assigned financial and schedule targets.
• Contribute to the growth of the company.
• Enhance own professional and personal skills.
MAJOR RESPONSIBILITIES
• Client/Stakeholder Management
• Proactively engage stakeholders to ensure small projects are delivered successfully within budget and on time.
• Build and develop effective client / stakeholder relationships across multiple levels of the organization.
• Project Management
◦ Develop scope, schedule and budget for assigned projects.
◦ Bid projects and level for direct comparison. Manage the project bidding and contracting process to include soliciting bids, bid assessment, negotiations and PO price.
◦ Issue PO’s and confirm Invoices.
◦ Proactively manage project-related activities.
◦ Conduct and document all project meetings.
◦ Coordinate daily construction activities associated with project assignments.
◦ Coordinate activities between the Owner, JLL, general contractor, and JLL selected contractors.
◦ Provide detailed project cost reporting, scheduling, vendor coordination, etc.
◦ Continual communication and interaction with JLL Facilities Manager’s.
◦ Create and track all project documentation.
◦ Maintain accurate and consistent electronic files and documentation for all project assignments.
◦ Demonstrate proficiency in the use and application of all technology as required for assigned projects.
◦ Update/maintain Small Project Tracker as required.
◦ Ensure accurate management of all project financial requirements.
◦ Issue Change Orders timely per policies.
◦ Maintain all back-up documents, emails, supporting project scope, schedule and budget.
◦ Comply with all JLL / client policies and procedures, including but not limited to ethics and business practice.
◦ Maintain a flexible schedule that allows for travel to project sites as assigned.
• Procurement & Vendor Management
• Ensure vendors are well-managed, delivering services on time and within budget.
• Ensure that vendor procurement processes comply with agreed client procurement guidelines as well as Jones Lang LaSalle best practices.
• Contracts Management
• Plan and manage all contracts to ensure that they are professionally delivered at the right costs.
• Finance Management / Cost Control / Profitability
• Ensure financial processes are followed at all times.
• Health & Safety Management
• Ensure the provision of a safe working environment.
• Ensure compliance with statutory regulations on fire, health and safety standards.
• Site Operations Management
• Recommend continuous quality improvement practices and implement Industry Best Practice operations.
• Implement small projects procedures and performance measures and ensure they are maintained at all times.
• Ensure all Critical Environment (CEM) requirements are met.
• Risk Management
• Ensure subcontractors and/or vendors work to Risk Assessments and Method Statements.
• Ensure escalation procedures and incident reporting procedures are implemented as needed.
• Achieve Key Performance Indicators and Service Level Agreement
