Job Summary:
This role is primarily responsible to ensure contracting and procurement standards are maintained with a focus on the document management of supplier contract relationships.
Responsibilities - Contract and Risk Management:
• Ensure compliance to JLL sourcing and contracting policies and procedures.
• Oversee and/or administer and maintain supplier files, contracts, amendments, letters and other contract and compliance documents to ensure 100% compliance. Responsible for data integrity of electronic contract database and related systems. Track correspondence and authorizations where required in order to maintain detailed and accurate files.
• Lead contract documents and systems audit on a routine basis. Correct areas that do not meet standards. Process contract documents, supplier set up and contracting requests, etc. in a timely manner.
• Ensure effective and proactive communication regarding status of requests and deliverables escalating any issues as appropriate. Coordinate and communicate to all as applicable regarding contract docs and supplier information.
• Assist with examination and managing activities to ensure contract and platform standards are maintained. Support communication and resolution of compliance components.
• Provide temporary help and/or project-specific assistance if required.
• Help to manage new agency transitions if needed, working with Sourcing Lead to ensure compliance to JLL standards. Provide onboarding and registration support. Provide administrative and implementation support for Sourcing related technology platforms (Corrigo, Avetta, Bravo) if required.
• Provide guidance to new team members regarding processes and standards. Develop and present solutions that enhance efficiency and provide for continuous process improvement.
• Establish relationship with Corporate Legal and Risk Management to ensure all contractual terms and conditions comply with standards or other contract changes are formally reviewed and approved by legal/risk management.
Qualifications:
• Bachelor's degree in Business/Purchasing/Supply Chain preferred
• 5- 7 years in similar role and function preferred Effective Inter-personal skills and organization skills; strong analytical ability.
• Solid communication skills – oral and written.
• Excellent PC skills, proficient in all MS applications, especially MS Excel.
• Excellent Inter-personal skills, organization skills, strong analytical ability.
• Proven ability to establish work priorities in a decentralized environment.
