Position Overview
This position’s key responsibilities are to keep the front office running smoothly by successfully completely tasks such as, answering the phones, greeting visitors, distributing faxes, electronic filing, and maintenance of incoming and outgoing mail.
Essential Job Functions
• Operates telephone/switchboard service and directs calls to the appropriate staff member in a polite and efficient manner
• Receives faxes by email and forwards to intended recipients
• Receives mail and forwards to the appropriate staff member
• Prepares all external mailings (USPS, UPS, FedEx) for staff members and ensures daily pickup, when appropriate
• Utilizes TracIt (our internal database) and all of its features (ie. email logging, siloing, email templates, letter templates, reports, etc.)
• Manages the electronic filing system “Silo” and monitors it daily to ensure it is always up-to-date
• Packages and mails plan documents to be sent to clients
• Prepares a daily deposit slip for checks received for A/R
• Maintains all office supplies (such as, general office needs, paper, toner, coffee, postage)
• Maintains a list of grocery items for our kitchen and places an online order when needed
• Packages and mails all plans’ Annual Reports / Forms still being sent out hardcopy, when needed
• Assist Project Team with projects, when needed
Requirements
• Timely completion of tasks based on pre-determined deadlines
• Minimum of 5 -6 hour days in the office, per week (Typical Hours: 10am – 4pm Mon – Thurs & 9am – 3pm Fri)
• Having a positive attitude of “getting the job done” in the most effective and efficient way
• Ability to work in a confidential work environment with sensitive information
